We are looking for an experienced Senior Administrator/Medical Secretary to work as part of a team to support our growing team of Community Paediatricians across three centres. The role offers significant exposure to a wide range of clinical and administrative processes, providing an excellent platform for professional development and career progression in an NHS environment. The role would be particularly suited to someone who is keen to take on new challenges (including supervision and line management).

Main duties of the job:

  • Provide comprehensive medical administrative support, working closely with Community Paediatricians and the wider clinical teams within Children’s Specialist Services.

The successful candidate will demonstrate:

  • Advanced typing and formatting skills.
  • Previous NHS administration experience at a Senior level.
  • Excellent time management skills to manage a busy workload.
  • High attention to detail and accuracy.
  • Strong and clear communication skills.
  • Initiative and problem-solving abilities.
  • Energetic, flexible and proactive approach.
  • Experience of SystmOne/AMSPAR desirable.

Other Essential:

  • Hold a full, valid, UK driving licence and have access to a car to use for business purposes (unless you have a disability as defined by the Equality Act 2010).

Qualifications and Training Essential:

  • NVQ level 4 in Business Studies or Administration or equivalent knowledge or experience.
  • RSAIII (or equivalent).
  • Educated to G.C.S.E. or equivalent in English and Maths.
  • Audio Typing/AMSPAR qualification.
  • Microsoft Office software packages, to include Word, Excel and PowerPoint.

Experience and Knowledge Essential:

  • Experienced Administrator at Senior Level.
  • Experience of line management responsibility.
  • Experience of preparation of reports and taking of and producing minutes, together with setting agendas and distribution of associated papers.
  • Experience of arranging large meetings.
  • Experience of managing diaries.
  • Experience of composing correspondence for approval.

Skills Essential:

  • Plan and prioritise own workload in a busy environment.
  • Well-developed office management skills including the reviewing and/or setting up of systems.
  • Good verbal communication skills including the ability to persuade, motivate and influence others.
  • Good written communication skills with a high standard of accuracy.
  • Communicate sensitive and confidential issues in an appropriate manner.
  • Respond effectively and appropriately to external calls and queries from members of the public and external stakeholders.

Abilities Essential:

  • Ability to organise and evaluate data, assessing its importance by creating and maintaining databases and spreadsheets.
  • Ability to construct clear, grammatically correct letters and reports presenting work accurately and neatly.
  • Takes initiative and uses own judgement in anticipating and dealing with queries and problems.
  • Ability to adapt to change and develop own systems to meet changing priorities.
  • Able to work on a variety of tasks with deadlines at any one time with minimum supervision.
