The Role
We are looking for a Studio Coordinator/ Office Manager to join our vibrant and diverse team in Exmouth Market, London.
If you enjoy keeping things running smoothly, efficiently juggling a variety of projects and tasks, whilst supporting a busy office, then this role might be ideal for you!
This crucial role involves (but it’s not limited to) managing suppliers, maintaining office equipment and IT infrastructure, and providing administrative support across various functions. You will also support our sustainability accreditations, Finance & HR functions, manage health and safety protocols and many other aspects of business administration.
Whilst we offer flexible working to our employees, this role is full-time office based. We are looking for someone who wants to be in the midst of the action and be the go-to person for everyone in the office.

– A natural organiser with a positive attitude and a can-do approach.
– Have previous experience in administrative/ office management role, ideally in a creative background, however this is not essential.
– Proactive and keen to roll up your sleeves and get stuff done! There is a list of day-to-day responsibilities that will need your attention, and we are always open to new ideas on how to improve our processes.
– Have an extremely high level of accuracy and a drive to get things right – we seek a truly organised person with an eagle-eyed focus and attention to detail.
– Tech savvy and data driven. We use MS365 and Adobe Creative Suite, along with other more niche tech solutions. We want you to maintain our data management software, record financial transactions and keep templates and other documents up to date. To thrive in the role, you will need to be familiar with MS Office package (including Word and Excel at least intermediate level).
– An excellent, confident and approachable communicator – we are a friendly bunch, and we believe that strong office communication and good information flow at all levels are the key!
Your day-to-day
– Managing the studio on a day-to-day basis including greeting visitors, take and transfer incoming calls, managing deliveries, and maintaining general office equipment and supplies, ensuring everything is in good working order.
– Maintaining document and file management systems.
– Financial data entry and managing corporate credit cards.
– Manage internal cost trackers, identifying and investigating discrepancies.
– Maintaining fixed assets register and performing periodical inventory check.
– Liaise with external IT support to help resolve IT related issues and queries.
– Assisting with setting up meetings/CPD’s and internal/external company related events.
– Maintaining accurate and detailed supplier & customer ledgers.
– Liaising with various stakeholders and dealing with external queries.
– Maintaining online HR platform and ensuring employees’ records are up to date.
– Assisting with organisation of regular social events.
– Assisting with the onboarding of new team members, including setting up IT equipment.
– Booking staff training when appropriate.
– Booking and helping to manage staff reviews.
– Assisting in reviewing company policies to ensure company and industry standards are met.
– Assisting with administrative tasks, as required such as correspondence, filing and printing.
– Assisting with other relevant ad hoc administration tasks as required.
This role reports directly to a company director, with ad hoc assistance to other team members. The job title and salary depending on the level of previous experience.
