Job Summary

The Program Support Specialist provides essential administrative and clerical support to ensure the smooth operation of client services and program functions. This role is responsible for maintaining accurate client and provider records, preparing and processing paperwork, managing incoming and outgoing mail, and assisting with scheduling and orientation activities. The specialist also supports program staff by preparing required materials, directing calls, and serving as back‑up switchboard operator. With strong attention to detail and organizational skills, the Program Support Specialist plays a key role in maintaining efficient workflows and high‑quality service delivery.

Key Responsibilities

  • Maintain paperwork required by client services through accurate and timely preparation, copying, filing, and tracking.
  • Type correspondence, reports, forms, labels, etc.
  • Maintain client and provider files.
  • Sort and distribute incoming mail.
  • Post outgoing mail as assigned.
  • Serve as back‑up switchboard operator.
  • Prepare packets of required forms for self‑arranged orientation.
  • Make appointments for orientation.
  • Direct calls as needed in the Program Support area.
  • Participate in training and development programs to enhance service delivery.
  • Other related duties as assigned.

Position subject to successful completion of background checks.

Minimum Requirements

  • High School Diploma or equivalent.
  • At least one (1) year of full‑time experience in child‑development, child‑care programs, customer service or social work.
  • One full year of clerical experience including data entry and maintenance of records.
  • Experience in bookkeeping or accounting.
  • Must possess excellent verbal and written communication skills and the ability to communicate and interact effectively with all stakeholders.
  • Must be legally authorized to work in the US/TX.
