This is what you will do
The Events Manager as part of the Professional Relations and Communications team will manage the end-to-end delivery of all Chiesi AIR activities at third party sponsored and funded events, in line with the Chiesi Standard Operating Procedures and the ABPI Code of Practice. Delivering high quality customer experiences.
You will be responsible for:
- Manage the end-to-end delivery of all Chiesi AIR activities at third party sponsored and funded events and congress in line with Chiesi Standard Operating Procedures and the ABPI.
- Initial negotiations with Third Party Organisations, contracting, budget approval, materials approval, the required briefings, and delivery and follow up of all the activities.
- Manage the exhibition stand agency, providing them with regular briefings on Chiesi’s requirements.
- Holding regular meetings to ensure they are delivering against the identified KPIs.
- Own and update related event Standard Operating Procedure documentation, working with relevant stakeholders to continually improve the SOPs.
- Be the main point of contact for all Third-party event organisations and Respiratory education providers.
- Manage the development and delivery of Chiesi bespoke meeting offerings such as Face2Face working closely with the likes of education for Health to ensure the educational content is up to date and relevant for the target audience.
- Carry out code compliant briefings with all Chiesi employees attending and supporting any Chiesi sponsored/funded AIR Third-Party events and activities.
- Work closely with the team’s finance partner to ensure appropriate phasing of spend and that spend is in line with budget.
- Develop and manage the teams’ meetings tracker, ensuring that all required information is captured and logged.
- Work with the wider cross functional team and appointed creative agency to develop assets for meetings and exhibitions that are engaging and deliver against the core AIR strategies.
- Attend and manage events on site, managing and briefing any field employees who are supporting the meeting.
- Gathering feedback to ensure that our activities are delivering compliantly against strategy and are giving a great customer experience.
- Participation in the marketing planning cycles building a Third-Party meetings plan that delivers against the strategic priorities.
- In line with annual objectives, contribute and support the UK affiliate in its pursuit to become more sustainable.
You will need to have:
- Strong ability to plan and prioritise whilst maintaining a flexible approach, managing a workload that covers a complex schedule of meetings, exhibitions, and events.
- Excellent organisational, time-management and project management skills.
- Accuracy is essential along with experience of event co-ordination and/or planning with a high-level knowledge of MS Office in particular Excel, Word, Outlook, and PowerPoint.
- Strong communications skills and the ability to manage multiple stakeholders both internally and externally.
- Strong budgeting and negotiation skills and the ability to deliver all activities within the plan to budget.
- Ability to multi-task and prioritise workload.
- Ability to implement best practice working/procedures.
- Exceptional organisational, planning and prioritisation skills.
- Ability to work independently demonstrating a proactive approach.
- An in-depth understanding of how Third Parties Event companies operate and the different types of offerings they provide.
- Strong negotiation and budgeting skills.
- Ability to lead cross functional teams to deliver against identified projects.
Key Competencies:
- Proficient using a full range of Microsoft Office programmes including Excel, Outlook, Word, PowerPoint.
- Strong understanding of the ABPI code of practice in the UK.
- Strong communications and influencing skills.
