The Office Administrator is a full-time position responsible for both managing the UK Office and providing administrative support to the UK team at Chick-fil-A, Inc. This position will report directly to a Director in the UK Team; will provide director-level support. The position typically requires 40 hours of work per week. This role requires collaboration and communication on an ongoing basis with business partners, outside vendors, Chick-fil-A Operators & License Partners.
Job Responsibilities
Key responsibilities of this role include, but are not necessarily limited to:
- Day to day Office Management Responsibilities.
- Manage calendars for multiple leaders with busy meeting, work, and project schedules.
- Organize internal meetings, working cross-functionally with administrators and professionals from all departments across the business.
- Provide ad hoc logistics planning and preparation for Department events, meetings, and other activities.
- Create and maintain the UK Teams shared calendar to include holidays across geographies, NROs (New Restaurant Openings) by country, department-wide events, and other relevant department-wide events.
- Answer, screen and return calls/emails to others on various matters and issues.
- Make travel arrangements for assigned leaders and other team members, including flights, hotels, ground transportation, and conference/seminar registrations.
- Prepare and submit all expense reports for the UK team.
- Coordinate and sometimes participate in hosting Operator Connections, International visitors and guests.
- Provide support to Field Operations and Operators including but not limited to: the coordination of Operator events, Operator Awards, registration & logistics for events, maintaining Operator records, vendor & customer enquiries and other projects related to supporting the UK team.
- Provide planning & execution support to other UK sub teams as needed in the start-up and early run phase of Chick-fil-A.
- Organize and distribute mail for the entire team, including the distribution and shipping of materials to international office locations.
- Complete various other administrative tasks and projects, as needed.
Required Qualifications
- Bachelor’s Degree or the equivalent combination of education, training and experience from which comparable skills can be acquired
- Minimum 3 years of senior leader administrative support and general administrative experience
- Proficient with Microsoft Office Applications (must have high-level of proficiency with Outlook, including calendaring).
- Experience with various technology platforms and aptitude to learn new software.
- Strong self-starter with superior follow-through, project management and organizational skills.
- Maintain the confidentiality of information and exercise discretion in interactions with Staff, Operators and third parties.
- Ability to work autonomously with a high level of initiative, independent judgment, and attention to detail.
- Strong verbal and written communication skills.
- Ability to be flexible and adapt to changing environments.
- Ability to juggle multiple tasks and identify and set priorities with a limited degree of supervision.
- Ability to support a wide spectrum of individuals and work styles, and manage a high volume of matters, with a limited degree of supervision.
- Ability to discern needed improvements, communicate recommendations or solutions and adapt procedures and processes to effectively complete projects and meet team goals/requirements.
