About the role of Commercial Assistant:
The Commercial Assistant role is a pivotal role within the Commercial Low Speed division of Chevron Traffic Management and is responsible for timely and accurate billing of all work carried out within the region, ensuring that client specified application/invoice dates are met, along with contributing to the management of commercial aspects of all contracts, including ensuring costs and revenue in correct periods. The role reports to the Senior Commercial Manager – Low Speed North and is part of a small Commercial team function supporting the Low-Speed business in the north of England. The role holder is a key member of the Commercial team within a Low-Speed region(s), led by a Senior Commercial Manager, working alongside Depots & Operations Managers and Commercial team members.
Key tasks vary, but will include:
- Contracts invoicing
- Monitor and maintain the data in Company’s in-house TM Work system
- Lead the invoicing process, ensuring timely and accurate billing of all work carried out within the region, ensuring that client specified application/invoice dates are met
- Liaising with projects/planning teams responsible for building up the jobs on system, ensuring the standard process is followed and allows an accurate invoicing process
- Timely responses to Client enquiries, communication falling in line with the company ethos
- Participate in regional review meetings with other departments, taking the lead where required to explain any issues encountered within Commercial invoicing process
- Liaising with Finance team when required to resolve client’s queries post invoicing
Other:
- Any other suitable duties as per management requests to support the business
- Contribute to process improvement and implementation across the region
- Identify systems improvements
- Process Review and challenge internal commercial processes and adherence thereof, identifying weaknesses and opportunities to improve
- Cash management
- Assist the Quantity Surveyors and Senior Commercial Manager with Age Debt, Cash collection and escalation if needed
- Liaise with Finance team when required to identify and resolve stoppers in payment allocation process
- Contracts applications for payment
- Help the Quantity Surveyors and Senior Commercial Manager to prepare applications for payment on small purchase orders/short form of subcontracts
- When required, collect and submit the evidence to the clients
- Use and maintain trackers implemented within the commercial process

- Working knowledge of Traffic Management.
- Experience gained within a similar commercial administration role
- Previous demonstrable experience in quantity surveying
