We have an exciting opportunity for a highly motivated, organised and proactive Care (Education) Treatment Review / Dynamic Support Register Team Administrator to support the smooth day-to-day operation of the team. The successful candidate will provide high-quality administrative support, maintain accurate records, coordinate communications, and assist with reporting and compliance activities. Working pattern will be 9 am to 5 pm and the role requires travel across the SWYT footprint.
Responsibilities
- Provide administrative support to the CeTR/DSR team.
- Manage team inboxes, calendars, meetings and correspondence.
- Maintain accurate databases, records and filing systems.
- Support data tracking, monitoring and compliance processes.
- Coordinate meetings and take minutes.
- Liaise with internal departments and external stakeholders professionally.
- Ensure confidentiality and data protection standards are maintained.
- Assist with process improvements and general office coordination.
- Contribute to ensuring timely payment of invoices while maintaining compliance with NHS policies and financial controls.
Person Specification
- Training: Willing and able to undertake all Trust mandatory training requirements and subsequent refresher training.
- Personal Attributes: Flexible to meet the demands of the post. Responsive attitude and approach. Dress appropriately for the environment. Ability to travel around the Trust as required.
- Qualifications: NVQ level 4 in Business Administration or equivalent level qualification. Or be able to demonstrate competency at level 4 in an Admin/secretarial/supervisory position.
- Special Knowledge / Skills: Excellent written and verbal communication skills; ability to prepare routine written correspondence and to obtain and pass on confidential information. Strong analytical and problem-solving skills. Sound knowledge of the Data Protection Act. Excellent customer care and interpersonal skills. Ability to provide and receive supervision, work flexibly and independently or as part of a team. Resilience to pressure and experience with emotionally or distressing situations. Demonstrated Trust Values and commitment to confidentiality. High numeracy, literacy and IT/keyboard proficiency. Awareness of diversity and cultural understanding.
- Experience: Experience in general administration or supervisory management (e.g., project management, sickness management, recruitment). Experience dealing with the public and working as an effective team member. Experience prioritising own workload and meeting deadlines.
- Physical Attributes: A satisfactory sickness record over the previous two years. Able to fulfil Occupational Health requirements for the post (with reasonable adjustments if necessary).
