South West Yorkshire Partnership NHS Foundation Trust is recruiting a Medical Secretary for the Older Peoples Service at Folly Hall Mills. The role is part‑time, working three days per week (9.00 am‑5.00 pm on Wednesday, Thursday and Friday). The Medical Secretary will provide high‑quality administrative and secretarial support to the medics in the Older Peoples Service Team, ensuring smooth operation and efficient service delivery. The position involves working alongside experienced clinicians and passionate professionals to deliver exceptional mental health care. All employees of the Trust are strongly encouraged to have up‑to‑date flu vaccination to protect staff and patients.

Key Responsibilities

  • Provide comprehensive secretarial support including audio typing, minute‑taking, diary management and handling correspondence.
  • Act as the first point of contact for internal and external enquiries, ensuring professional and sensitive communication with service users.
  • Manage clinical diaries, book appointments and coordinate meetings, ensuring timely and accurate scheduling.
  • Maintain accurate and confidential records using electronic patient record systems (e.g., SystmOne), complying with data protection and governance policies.
  • Collaborate closely with multidisciplinary teams to contribute to an efficient working environment.
  • Perform general office duties such as word processing of correspondence, photocopying, filing, scanning, mail handling, and managing stationery supplies.
  • Support the line manager or admin supervisor, assist in problem‑solving, reporting and implementing improvements as required.

  • Good written communication skills, capable of preparing routine written correspondence.
  • Good verbal communication skills, able to obtain and convey confidential information, make decisions and prioritise tasks.
  • Knowledge of the Data Protection Act.

Qualifications

  • Copy/audio typing experience where applicable.
