We are looking for a friendly, organised, and compassionate individual to join our Phone Hub Team at Folly Hall Mills, Huddersfield. In this role you will support your manager/supervisor by delivering high‑quality administrative support to the Physical Health and Wellness Team and the CMHT phone hub.

Key responsibilities:

  • Ensure administrative tasks match the service output requirements.
  • Make clinic appointments for health care facilitators with SMI patients in GP practices across north and south Kirklees.
  • Follow up patients who do not attend appointments and re‑book them.
  • Support health care facilitators and the clinical team leader with additional administrative work when requested.
  • Track and manage referrals, inform patients of updates and ensure confidentiality.
  • Type and send appointment letters.
  • Communicate effectively with patients, staff and external partners using verbal and written channels.
  • Demonstrate flexible understanding of reasonable adjustments for SMI patients and the wider service.

About You

  • Excellent communication and interpersonal skills – able to treat people kindly and sensitively in person and over the phone.
  • Highly organised with a keen eye for detail and calm under pressure.
  • Good IT skills, competent in Microsoft Office applications.
  • Can work effectively as part of a team and adapt to daily demands.
  • Previous experience in a customer‑service role, preferably in a healthcare setting.

Experience & Qualifications

  • NVQ level 2 or RSA II or OCR II (or equivalent) in related subjects – business admin, typing/word processing, customer services.
  • Demonstrated competency at level 2.
  • Proficient with Microsoft Word, Excel, Outlook, PowerPoint and other Office applications.
  • Experience with email, electronic diaries, arranging meetings and prioritising tasks.
  • Secretarial or administrative experience – including copy or audio typing is desirable.
  • Knowledge of GDPR, diversity/cultural awareness, Health & Safety and moving & handling is desirable.
  • Willingness to undertake further study or development.

  • Flexibility to travel across the Trust as required.
  • Positive, responsive attitude, appropriate dress and ability to work under pressure.
  • Must have a satisfactory sickness record over the previous two years and fulfil Occupational Health requirements.
