37.5 hours per week. Deliver a high-quality payroll service for a large and diverse workforce, process payroll transactions accurately and efficiently in line with NHS terms, resolve payroll queries, support data quality and contribute to continuous service improvement.

Key Responsibilities

  • Process monthly payrolls in accordance with correct policies and procedures.
  • Input payroll data to the payroll and HR systems.
  • Verify output against source documents (contracts, offer letters, HRS forms).
  • Validate payroll and pension records.
  • Analyse and interpret complex payments; investigate pay queries, identify errors and discrepancies and inform staff of overpayments and negotiate recovery.
  • Create and maintain spreadsheets for earnings, deductions, arrears payments etc.
  • Maintain pension records – dealing with entrants/leavers, prepare membership and benefit statements and liaise with pension agencies.
  • Advise staff on maternity entitlements and calculate statutory and occupational maternity pays.
  • Maintain accurate sickness absence and entitlement records, advise staff and managers on any pay issues.
  • Advise on unsocial hours payments, overtime, travel expenses, subsistence allowances and sick pay.
  • Handle correspondence from HMRC, DWP and local government regarding earnings and benefits.
  • Communicate effectively with managers and staff at all levels, maintaining confidentiality and data-protection awareness.
  • Participate in induction and training for payroll clerks and new staff; represent the HR/Payroll department on the Trust’s induction day.
  • Check that timesheets, expense claims and HRS forms have appropriate approvals.
  • Verify previous NHS service for new starters.
  • Provide cover for colleagues within HR/Payroll team as required.
  • Undertake further training as necessary and participate in project work.
  • Support continuous improvement and service quality initiatives.

Qualifications & Experience

Essential:

  • NVQ Level 4 (or equivalent) in Payroll/HR/Finance or relevant experience.
  • Good standard of secondary education – GCSE maths and English or equivalent.
  • Experience working in a payroll/HR/Finance department.
  • Experience of Payroll software packages for inputting and reporting.
  • Broad knowledge and experience of Social Security and HMRC legislation (Tax/NI/SSP/SMP/WTD, etc).

Desirable:

  • Experience of ESR (NHS HR/Payroll system).
  • NHS payroll experience.
  • Knowledge of NHS pension regulations, procedures, benefits and initiatives.

  • Excellent interpersonal and communication skills (oral and written).
  • Time-management – working to deadlines with accuracy.
