Overview

Job Summary. Are you passionate about working alongside adults with a learning disability as part of a wider team of people? We have an opportunity for an Administrative Support person (Band 3) to join our friendly and motivated team in the Kirklees Community Health Team.

The applicant must be self-motivated, value-led, friendly and have a flexible and kind approach. It is essential that you have good written and verbal communication skills, be able to take notes and formulate reports and dictate letters. Time management and organisational skills are essential, with the ability to organise your own workload and, at times, the workload of others. The successful candidate will have excellent customer service skills with a responsive attitude, good IT skills, and strong telephone skills. You will work on the clinic area reception, take calls and transfer/cascade information to relevant people. Main duties of the job include providing a comprehensive, confidential secretarial/administrative service to clinical/support services under supervision, contributing to high-quality administrative support to the MDT, maintaining confidentiality, and working within established policies and service delivery plans.

The Post-holder will: Under the supervision/direction of the Administrative Supervisor, provide a comprehensive, confidential secretarial/administrative service to clinical/support services in an efficient and confidential manner, within well-established policies, procedures, protocols and guidelines, and within the required sphere of competences for the role.

  • Demonstrate knowledge of the service to enable the post holder to contribute and inform decision making within the service.
  • May work within clinical environments where conflict resolution may be required.
  • Act as principal point of contact for users of the service (internal and external to the Trust, service users and members of the public).
  • Work flexibly to meet the needs of the service.
  • Develop and maintain good working relationships, being flexible, adaptable, polite, positive and empathetic, communicating effectively and informatively.
  • Work with sensitivity and understand issues experienced by users of the service.
  • Prioritise own tasks with independence, initiative and judgement; refer issues outside of competency to the Administrative Supervisor.

Essential

  • Good written and verbal communication skills, with the ability to prepare routine correspondence and convey confidential messages.

  • Note/minute taking; use of email; maintaining diaries; arranging meetings.
  • Proficiency with Microsoft Word and other applications (Excel, Outlook, PowerPoint); working as part of a team with minimal supervision; maintaining confidentiality and meeting deadlines.

  • Experience in a caring environment; dealing with the public.
