The ideal candidate will provide top-level assistance for our MD. They should be well-organized and comfortable scheduling meetings and responding to emails on the executive's behalf. Lastly, this individual should be able to draft documents and help the executive with any necessary meeting preparations. A competent professional who can be trusted with the most confidential information. Excellent organizational skills, time management, and strong administrative skills are essential.
Responsibilities
- Calendar management for MD.
- Responding to emails and document requests on behalf of MD.
- Draft meeting notes and documents.
- Manage inbound and outbound email, filtering for relevance and matters requiring personal attention.
- Provide support for meetings including preparing packs and agendas, arranging refreshments, taking minutes, noting action points, and following them up.
- Prepare and submit MD expense claims.
Communication
- Liaison with internal and external stakeholders.
- Arranging key internal & external events.
General
- Complete ad-hoc assignments or research when required.
- Producing documents, briefing papers, reports, and presentations.
- Provide overall support for other senior managers as necessary.
- Any other duties as directed by the Managing Director.
- Ensure housekeeping of the administration offices (Director’s Floor) is maintained to the highest standards.
Qualifications
- Bachelor's degree or equivalent experience.
- Proficient in Microsoft Office suite.
- Experience in managing multiple priorities, administrative coordination, and logistics.
- Well-organized, detail-oriented, ability to multi-task with great follow-up skills.
- Strong written and verbal communication skills.
- Strong time-management skills and the ability to organize and coordinate multiple projects at once.
- Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge.
Experience
- 3 years of relevant experience working as a PA.
Shift Pattern
- Monday to Friday, 8:30 am to 5:30 pm.
Location
- Thorne, Doncaster.
Salary
- Subject to experience, starting at £30k.
