Chester Race Company are proud to present an exciting opportunity for an individual to join the Executive team as an Executive Operations Coordinatoron a permanent contract, based in the heart of Chester. This role is pivotal in supporting the smooth operation of Chester Racecourse\’s headquarters.Reporting to the Executive Assistant and Secretary to the Board, this position requires an organised, proactive individual who can balance executive support duties with broader office management responsibilities. The ideal candidate will serve as the operational backbone of our organisation, ensuring excellent administrative support while continuously improving our processes and systems.

The Company operates three racecourses, Chester, Bangor-on-Dee and Musselburgh, in Scotland. At Chester, we also own and operate – a hotel, a vibrant pub and have other property interests in the city.
General Responsibilities include:
Executive Support (50%)
- Provide comprehensive administrative support to the Executive Assistant and Secretary to the Board, Chief Operating Officer, and Group Catering Director
- Cover for the Executive Assistant and Secretary to the Board during absences
- Plan, prepare and coordinate meetings with collated briefing documents
- Compile and format regular reports for executive review (Excel and Powerpoint)
- Manage complex calendars, schedule meetings, and coordinate travel arrangements
- Take accurate minutes at meetings and follow up on action points
- Handle confidential information with appropriate discretion
- Provide ad hoc project support to executives as needed
Office Management (45%)
- Oversee day-to-day operations of the racecourse headquarters
- Manage office supplies, equipment, and vendor relationships
- Raise purchase orders according to company procedures
- Coordinate meeting room bookings and prepare spaces for meetings
- Coordinate the distribution of weekly lunch menus to staff and oversee the lunch ordering process
- Serve as the first point of contact for visitors, providing a professional welcome
- Process incoming and outgoing mail and deliveries
- Identify operational inefficiencies and implement improvements
- Maintain organized filing systems, both physical and digital
Race Day Support (5%)
- Provide flexible support across race day operations as required including guest coordination, admin support and covering key roles
- Document critical information and maintain clear communication channels during events
Skills and Attributes:
- Proven experience in an administrative or executive assistant role
- Experience or knowledge in events, hospitality, horse racing or sports/entertainment industry is desirable
- Exceptional organisational skills with the ability to manage multiple priorities
- Advanced proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
- Experience with electronic document management systems
- Demonstrated ability to identify and implement process improvements
- Excellent written and verbal communication skills
- Proactive problem-solving approach

Salary: £26,000 – £30,000 per annum
Hours of work:
37.5 hours per week, standard working hours are 09:00-17:00.
Evening and weekend work is expected in line with business needs with theabilityto work occasional irregular hours during race events and busy periods.
This role is based in Chester with occasional travel in the UK and therefore a reliable commute to Chester city centre is essential.
Occasional remote working will be possible.
