Chess is seeking a proactive and driven Bid Executive to join our high-performing team, reporting directly to the Head of Bids. As an integral part of our dynamic Sales function, you will collaborate closely with colleagues across the business, as well as with vendors and customers. Responsibilities, not limited to:
- Bid Coordination: Provide daily administrative support to ensure smooth and efficient bid submissions.
- Contribute to the continuous improvement of team tools, templates, and processes.
- Set up folders, trackers, and templates for new bid opportunities.
- Assist in coordinating and managing the end-to-end bid process.
- Support the identification and development of high-quality, timely, and competitive bids.
- Review and refine pre-written content to ensure relevance and quality.
- Check and validate responses from key stakeholders, including Sales, Technical, Commercial, and Delivery teams.
- Submit Management Information (MI) data for frameworks as required.
- Maintain and update bid libraries across all group companies, including CVs, case studies, policies, accreditations, and references.
- Track updates, manage version control, and ensure consistency across all bid materials.
- Provide post-submission support, including facilitating win/loss reviews and lessons learned.
- Assist in the preparation and delivery of bid presentations.
- Support workload planning, bid forecasting, and tracking/reporting of costs and win/loss outcomes.
- Organise bid documentation, including RFPs (Requests for Proposals), RFIs (Requests for Information), and RFQs (Requests for Quotations).
- Ensure all bid documents are completed accurately and submitted within deadlines.
Presentation & Submission Support:
- Support the team in developing mid and post-tender presentations.
- Format and structure slides in line with brand guidelines.
- Assist in coordinating content and presentation prep.
Internal Coordination:
- Liaise with internal departments—including Sales, Marketing, Finance, and Technical teams—to gather information and resources for bid submissions.
- Coordinate meetings and discussions with relevant stakeholders to review bid requirements and shape bid strategies.
- Communicate bid timelines, requirements, and expectations clearly to internal teams.
- Conduct research via relevant portals to identify new bid opportunities.
- Research potential customers, competitors, and market trends to inform and support bid strategies.
- Analyse bid documentation to identify key deliverables, compliance criteria, and technical requirements.
- Assist in the development of bid strategy documents, including SWOT analyses.
Documentation Management:
- Prepare and format bid documents, ensuring consistency and compliance with brand guidelines.
- Review and edit bid content for clarity, accuracy, and compliance with customer requirements.
- Maintain accurate records of bid submissions, including tracking versions and revisions.
Quality Assurance:
- Perform quality checks on bid documents to ensure they meet customer expectations and comply with all necessary requirements.
- Coordinate with subject matter experts to review technical content and ensure accuracy.
- Identify and address any issues or discrepancies in bid submissions.
The Candidate:
- Extensive experience in a Bid Executive or Bid Management role, with a strong track record in handling both tenders and frameworks.
- Demonstrated time management and organisational skills, with the ability to manage multiple deadlines and priorities effectively.
- Proven ability to collaborate within cross-functional teams and contribute positively to a team-oriented environment.
- Strong interpersonal skills, promoting engagement, collaboration, and knowledge sharing across teams.
- Capable of working independently using own initiative, while also thriving in a team setting.
Essential skills:
- Excellent written and verbal communication skills, with attention to detail.
- Proven proficiency in Microsoft Office suite (Outlook, Word, Excel, PowerPoint).

Hours: A standard week is 37½ Monday to Friday. At Chess we offer many flexible working options, and we have both full-time and part-time working hours available.
