The Medicines & Product Data Manager owns the integrity, accuracy and lifecycle of all product and medication data across the group's ERP and Product Information Management (PIM) systems. This is the single point of accountability for how items are set up, enriched, maintained and released into the systems that drive our automated dispensing hub and online channels.
A core part of the role is the clinical sign-off and controlled release of new and amended items before they reach the ERP and PIM. Because our automated hub relies on barcode scanning to pick and verify the correct medication, accurate item data is a clinically significant safety control. Incorrect data — a wrong barcode, pack size, strength or product mapping — can result in the wrong product being dispensed. This role is the gatekeeper that prevents that.
The role also looks outward: monitoring authoritative data sources (NHS dm+d and Chemist & Druggist) for changes and new product releases, identifying opportunities to improve automation efficiency through cleaner data, and flagging newly available medicines we could offer through self-pay channels.


Key Responsibilities

As the Medicines & Product Data Manager, you will be responsible for leading the following key areas:

Product & item lifecycle management
•Own the end-to-end setup of new products and medications in the ERP and PIM, ensuring all attributes (descriptions, barcodes/GTINs, pack sizes, strengths, forms, dm+d mappings, pricing references, supplier data, categorisation and channel flags) are complete and accurate.
•Manage the enrichment and ongoing maintenance of data for existing products, keeping records current as supplier, regulatory and clinical information changes.
•Maintain a clean, de-duplicated and well-structured item catalogue, applying consistent data standards, naming conventions and taxonomy across all brands and channels.

Clinical safety & controlled release (critical control)
•Review, approve and sign off the release of all new items and changes to existing items before they go live in the ERP and PIM, treating this as a clinical safety gate rather than an administrative step.
•Verify that barcode/GTIN-to-product mappings are correct so that automated barcode scanning in the hub cannot match a scan to the wrong product.
•Operate a documented, auditable change-control and release process with appropriate segregation of duties and four-eyes checks on safety-critical fields.
•Escalate any data integrity risk that could affect patient safety to the Superintendent Pharmacist and Operations leadership and hold the authority to block a release until resolved.

External data monitoring & opportunity identification
•Review changes to item data from the NHS Dictionary of Medicines and Devices (dm+d) and Chemist & Druggist, assessing the impact on our catalogue and acting on relevant updates.
•Keep medication and item data aligned with these authoritative sources to improve accuracy and automation efficiency.
•Track new drug releases and product availability, identifying medicines we could add to self-pay channels, and bring those opportunities to the commercial and clinical teams with a clear data and feasibility assessment.

Systems, automation & continuous improvement
•Act as the group expert and data steward for the ERP and PIM, working closely with operations, automation/WMS, commercial and IT teams.
•Identify and drive efficiencies in how item data feeds the automated hub, reducing exceptions, mis-scans and manual interventions caused by data issues.
•Build and maintain reporting, validation rules and reconciliation checks that proactively surface data errors before they reach production.
•Contribute to data governance policy, documentation and training so that data quality standards are understood and followed across the business.


Qualifications & Experience
To be successful for this role, you must be able to possess the following skills and experience:

Essential
•Pharmacy qualification — registered Pharmacy Technician (GPhC) or above (e.g. Pharmacist), or equivalent demonstrable pharmacy/medicines knowledge.
•Solid working knowledge of NHS dm+d and pharmacy/medicines reference data (e.g. Chemist & Druggist).
•Hands-on experience with item / product master data management in a structured catalogue environment.
•Practical experience using a PIM and an ERP (setup, enrichment, maintenance and release of items).
•Strong analytical and spreadsheet skills (advanced Excel — lookups, pivot tables, large dataset handling; comfortable validating and reconciling data at scale).
•High attention to detail and a genuine safety-first mindset; understands why item data accuracy is clinically significant.
•Methodical, process-driven approach to change control and sign-off.

Desirable
•Experience in a regulated pharmacy or dispensing environment (GPhC / MHRA context).
•Familiarity with automated dispensing / fulfilment hubs and barcode/GTIN scanning workflows.
•Understanding of GS1 standards, GTINs and product identification.
•Experience working with data feeds, APIs or integrations between reference data sources and internal systems.
•Exposure to e-commerce / multi-channel product data and self-pay medicine ranges.
•SQL or BI / reporting tool experience.
