The Opportunity

This role provides comprehensive executive and administrative support to the Director of Performance while overseeing the operational and administrative functions of the Men’s Team performance department inclusive of Medical process. It ensures seamless coordination across teams, enabling the delivery of elite services in a high-performance football environment.

Key Responsibilities

  • Provide comprehensive administrative support to the Director of Performance, including proactive inbox, diary, and travel management.
  • Prepare and coordinate documents, presentations and reports.
  • Monitor budgets, track expenditure and process expenses in line with Club policies.
  • Collaborate with wider Club administration teams and EAs to ensure smooth cross-departmental coordination.
  • Provide flexible, ad hoc support to other departments and projects as required.
  • Support onboarding for new team members
  • Support and coordinate Continuing Professional Development (CPD) activities for the Performance team.
  • The organization and management of key internal systems: Kitman Labs, Sharepoint, teamworks etc.
  • Budgeting support and financial management – Purchase Orders, Claims Management, Special purchases, Indemnity Insurance

Medical Office Management

  • Coordinate player medical appointments, imaging, surgeries, screenings and travel logistics.
  • Coordinate logistics and scheduling of new player signing medicals and profiling.
  • Maintain accurate and confidential medical and performance records in line with GDPR and Club policies.
  • Health Partners (FA Premier League Scheme) communication for all pre-notifications and sign-off of all invoice queries.
  • Manage anti-doping and Whereabouts processes. Collaborate with the First Team Manager’s PA, Player Care Team to ensure seamless weekly operations for First Team players.
  • Work with the Club Doctors on indemnity, medical insurance, and player insurance matters.
  • Provide administrative and logistical support to the performance and medical teams, including travel, procurement and budget tracking.
  • Engage and collaborate with internal stakeholders across the Club to ensure effective communication and smooth cross-departmental operations such as finance, legal along with external stakeholders such as Premier League and The FA, Fortius, OneWelbeck Cleveland Clinic, and Prime Health.
  • Ensure secure storage and maintenance of Men’s First Team medical records in line with Club data protection rules, Premier League guidelines, and GDPR requirements.

  • Proactive problem solver with strong attention to detail and a collaborative, team focused approach.
  • Adaptable and resilient, able to respond quickly to changing demands.
  • Professional, discreet and reliable in a high performance sporting environment.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams).
  • Knowledge of medical administration is desirable but not essential.
  • Will ing to work flexible hours within the demands of the football calendar and across different time zones.
