We are seeking a motivated Executive Assistant to provide high-level support to the Strategic Projects Director and act as a key point of contact across the business. This role involves diary management, administrative support, office coordination, and assistance with board and governance duties. You will also support project delivery and contribute to the smooth running of day-to-day operations.
What You’ll Do
- Proactively manage the Strategic Projects Director’s diary, appointments, and meetings
- Coordinate travel, accommodation, and logistics for domestic and international travel
- Manage incoming communications, flag urgent matters, and draft responses for approval
- Prepare agendas, take minutes, and follow up on action items from meetings
- Approve invoices and expenses as directed
- Organise Board and shareholder meetings, including venue, catering, and logistics
- Ensure Board packs are completed and distributed to members and non-executives
- Collate and report strategic risk documentation and track SLT deliverables
- Support the Board in governance and compliance activities
- Ensure the office runs efficiently on a daily basis
- Manage office supplies, kitchen facilities, and stationery inventory
- Organise office layout, workstation changes, and office moves
- Liaise with facilities and service providers for maintenance and services
- Support customer, supplier, and visitor experience, including meeting preparation
- Assist with special projects, tracking progress and meeting deadlines
- Support document control, email inbox management, and reporting dashboards
- Interpret and collate reports, supporting strategic reporting
What We’re Looking For
- Previous experience in office administration, PA, Executive Assistant, or business coordination roles
- Excellent organisational and multitasking skills, with the ability to prioritise effectively
- Strong written and verbal communication skills, confident liaising with senior stakeholders
- Proficiency in Microsoft Office (Word, Excel, Outlook) and task management software
- High attention to detail, accuracy, and discretion with confidential information
- Ability to work independently under tight deadlines, managing multiple priorities
- Analytical and able to present information clearly and concisely
- Professional, proactive, and solution-focused
