The HR Advisor will work closely with the HR team to deliver the HR Strategy and ensure effective and efficient management of day-to-day HR processes.
Location: Lincoln

Hours: 9am – 5.15pm Monday to Friday

Responsibilities:
- Support the HR Manager in providing first-line HR advice to employees and managers on routine HR matters.
- Assist with recruitment administration, including drafting job adverts, coordinating interviews and preparing offer and contract documentation.
- Support onboarding and induction processes to ensure a smooth start for new employees, including timely production of appropriate paperwork and ensuring all necessary documentation is returned to the department.
- Ensure timely production and efficient storage of all HR Documentation which comply with legislative and company requirements.
- Prepare HR documentation such as letters, meeting notes, and outcome summaries.
- Support organisational changes, role updates and contract variations under supervision.
- Ensure all electronic personnel files are maintained, regularly audited and appropriate documents are on files.
- Maintain the HR Diary of key dates for staff, to include: probationary, starters, leavers, sickness absence, work experience and ensuring any reminders or documentation are prepared and sent.
- Support with the maintenance of the computerised HR System (PeopleHR).
- Ensure all information is accurately and correctly entered and system is updated with employee changes, absence and documentation.
- Monitor and flag long term and short-term absence trigger points.
- Assist the HR Manager with the consistent application of HR policies and procedures across the firm.
- Assist with employee relations processes, including disciplinaries, grievances, probation reviews, performance management and absence management.
- Assist with the monthly payroll process, including collating payroll data such as starters, leavers, salary changes and absence information.
- Support payroll-related queries from employees, escalating where required.
- Support the HR Manager with HR reporting and management information.
- File and manage HR documentation, ensuring confidentiality at all times.
- Ensure HR practices align with employment legislation and the professional standards expected within a law firm.
- Assist with coordinating training sessions and tracking attendance.
- Support performance review and appraisal processes.
- Support the HR Manager with the administration of other areas such as maintenance and Health and Safety.
- Adhoc project work as directed by the HR Manager.
- Provide cover for the HR Manager where necessary, e.g. annual leave.
Person Specification:
Qualifications: 5 GCSE Passes at Grade C or above; CIPD Level 3 Qualification (or actively working towards completion)
Knowledge: Knowledge of Microsoft Office; Previous experience in a HR or People Administration role; Basic understanding of UK employment law; Previous experience within a law firm or professional services environment; Payroll knowledge; Experience using HR systems and databases.
Skills: Ability to work under pressure and to tight deadlines; A keen eye for detail and accuracy; Structured and organised; Excellent interpersonal and communication skills.
Competencies: Able to work with diplomacy and maintain high levels of confidentiality; Desire to provide high quality service; High level of integrity.
