This role involves:
- Responding to communications from landlords and residents via email and phone.
- Instruction, monitoring, and liaison with regular maintenance contractors.
- Authorisation of invoices against instructed work.
- Carrying out Property Inspections when due and following through with issues found during inspection.
- Organising Gas Safety Certificates, Cylinder Services and Energy Performance Certificates as required.
- Data input/upkeep for annual assessments (GSC, EPC, PAT).
- Liaising with Insurance Companies – initiating formal written claims.
- Obtaining comparative quotes for damage.
- Coordinating replacement furniture/fittings as authorised during the tenancy and acquisition of keys/fobs/remotes/permits.
- Dealing with escalated out of hours issues through access during evenings, weekends and the Christmas period.
- Administering management keys to authorised contractors for maintenance purposes.
- Coordinating the deposit release process at the end of a tenancy.
- Liaising with the inventory company and/or negotiator in arranging works prior to and after the vacate date; end of tenancy cleans where required.
- Managing the return of tenant’s keys upon vacate date and arranging keys for inventory clerks/negotiators if requested for move ins.
- Upon receipt of check out report, processing the report and determining any monies for damages, dilapidations and communal water/heating charges from the tenants deposit.
- Determining any outstanding rent and any unpaid invoices from the tenant’s deposit.
- Negotiating as required the deposit deduction proposal between the Tenant & Landlord.
- Upon agreement on the deposit release, processing the deposit.
- Processing any deductions due to the Landlord and advising Accounts.
- Managing and overseeing any deposit release that has been escalated to arbitration.

- Previous experience in property management is advantageous but not mandatory.
- Demonstrating a proactive and optimistic attitude, coupled with strong interpersonal and communication skills for effective collaboration within a team.
- Displaying the ability to efficiently organise and prioritise tasks and responsibilities.
- Exhibiting problem-solving capabilities, meticulous attention to detail, reliability, punctuality, and maintaining excellent telephone etiquette.
- Possessing computer proficiency and comfort with the software suite necessary for executing and overseeing daily tasks.
