We are seeking a Reservations and Space Coordinator to join our dynamic team at Rapport. This role is responsible for the EMS booking system, including creating and maintaining resources, locations, and booking configurations, while providing system support and troubleshooting to ensure smooth scheduling and reservation operations. This role also manages reservations for our managed spaces as part of the reservations team.
Type of contract: Full-time, Permanent
Hours: 40 per week (Monday-Friday, shift rota basis between 7:30 AM and 6 PM)
Salary: £36,603 per annum

Main responsibilities:
- Serve as the main contact for EMS projects in the UK as directed by the Guest Services Manager or Director of Space Management including creation and maintenance of resources, locations, and booking configurations.
- Manage the EMS Service Now tickets and ensure all queries are responded to in a timely manner; escalate all service-related matters to the onsite client.
- Prepare monthly reports and review key metrics around EMS Support.
- Manage end-to-end reservation processes, handling booking requests and ensuring accurate scheduling of meetings and events.
- Effectively solve Meeting Space related issues to ensure minimal conflicts and use knowledge of sites and agencies to provide elevated support.
The ideal candidate will:

- Have experience in booking systems, facilities coordination, or administrative operations, with a strong understanding of scheduling and resource management.
- Have the ability to administer and configure system data (resources, locations, permissions) while maintaining high data accuracy and consistency.
- Possess strong coordination skills, including managing reservations, resolving booking conflicts, and confirming details with users ahead of meetings.
- Be an effective communicator with confidence in gathering missing information, managing stakeholder requests, and providing clear updates.
- Be highly organised, detail-focused, and capable of balancing system administration tasks with a high-volume operational workload in a time-sensitive environment.
