A C&E Event Planner & Administrator is required for The Jockey Club, based at Newmarket Racecourse. This role involves providing effective administration and customer service throughout the sales process to the end customer. Responsibilities include:
- Supporting and coordinating all bookings confirmed by the reactive sales team.
- Managing finance responsibilities, including billing clients for final payments and chasing deposits.
- Coordinating venue show-rounds and upselling to exceed customer expectations.
- Ensuring accurate and timely sharing of information with customers, staff, and management.
- Maximising revenue through outstanding customer service and developing relationships.
- Adhering to invoice and payment processes accurately.
Key Responsibilities:
- Owning the BEO/function sheet process and completing it efficiently for all events.
- Capturing all revenue opportunities and working towards achieving confirmed business.
- Maintaining a daily liaison plan with relevant team members.
- Handling all correspondence received via email or telephone.
- Inputting relevant information correctly within the system for measurement of results.
- Being the go-to person for sponsors and client requests at the venue.
- Ensuring safe and secure operation of all activities on behalf of stakeholders.
- Applying legislative and operational procedures to provide consistent service.
- Promoting continuous improvement and innovation in work activities.
- Assisting colleagues with other duties as required.
- Attending all relevant training sessions and meetings.
- Promoting venue facilities and maintaining a positive company image.
Operational Excellence:
- Meeting legal and company requirements for fire, safety, health, and hygiene.
- Reporting health and safety issues to your line manager.
- Coordinating commercial corporate and private conferences and events.
- Attending weekly operation meetings and collating completed work orders and schedules.
- Booking miscellaneous event requirements and raising purchase orders.
- Providing administrative support to the operations department.
- Collecting deposit payments in line with payment plans and Terms and Conditions.
