We’re pleased to offer an exciting opportunity for a Property Assistant to join our vibrant team at one of Rapport’s prestigious client sites in Paddington. In this role, you’ll provide essential administrative and operational support, ensuring strong compliance, excellent customer satisfaction, and consistently high service standards. You’ll work closely with the client’s Property Management team, Technical Services Managers, and on-site colleagues to uphold building standards, support occupiers, and maintain all health and safety requirements. The client’s portfolio includes a diverse mix of office and retail spaces located in the heart of the City of London, offering a dynamic and engaging environment to grow your skills.

Type of contract: Full-time, Permanent

Hours: 40 per week (Monday-Friday, shift rota basis between 8 AM and 6 PM with flexibility as per business needs)

Salary: Up to £40,000 per annum

Main responsibilities

  • Operational Support: Keep kitchens and tea points fully stocked, and monitor Helpdesk performance, escalating issues where required. Process access requests and work permit within 24 hours and organise or host contractor visits. Conduct structured bi-weekly reviews with the M&E provider.
  • Compliance & Risk Management: Monitor Health & Safety compliance, elevate risks, and report incidents immediately. Carry out monthly inspections of vacant units and review emergency procedures. Maintain all compliance documentation and building records.
  • Administration & Customer Engagement: Manage site administration and coordinate customer meetings, preparing records and sharing updates. Oversee locker and cycle storage allocations while maintaining high standards across signage and communal areas. Deliver quarterly occupier presentations and support customers across digital platforms.
  • Technical & Engineering Support: Work closely with building, fabric, and engineering teams to uphold standards and maintain accurate records. Support engineering compliance activities, audits, and statutory obligations. Assist with energy data reporting and participate in monthly M&E performance meetings.

The ideal candidate will

  • Ideally bring at least one year of administrative experience in a similar role, with strong organisational skills and excellent attention to detail.
  • Possess knowledge of health and safety compliance and building management processes (advantageous but not essential).
  • Demonstrate the ability to work collaboratively with key stakeholders across multiple teams.
  • Show excellent communication and interpersonal skills, particularly in customer-facing interactions.
  • Hold an intermediate level of proficiency in Microsoft Office, including Excel.
  • Bring enthusiasm, integrity, a positive can-do attitude, and strong attention to detail.
  • Show genuine passion for delivering outstanding service and taking ownership of your contribution to the team.
