A C&E Event Planner & Administrator is required for The Jockey Club, based at Newmarket Racecourse. This role involves providing effective administration and customer service throughout the sales process, supporting and coordinating all bookings confirmed by the reactive sales team, and managing finance responsibilities including billing clients and managing expenditure on the CRM system.
The primary objective of the role is to ensure the highest standards of accurate and timely information is shared among customers, staff, and management. Responsibilities include:
- Owning the BEO/function sheet process and ensuring all revenue opportunities are captured.
- Maintaining a daily liaison plan with relevant sales and operational team members.
- Handling all correspondence received via email or telephone.
- Inputting relevant information correctly within the system for measurement of results.
- Being the go-to person for sponsors and client requests at the venue.
- Ensuring compliance with legislative and operational procedures for safety and service consistency.
- Promoting continuous improvement and innovation in work activities.
- Assisting colleagues and attending relevant training sessions and meetings.
- Managing the client online booking tool and client account/bookings with the operations team if applicable.
Operational excellence includes being aware of legal and company requirements for fire, safety, health, and hygiene, reporting health and safety issues, and personally coordinating commercial corporate and private events. Additional responsibilities involve providing administrative support to the operations department and ensuring timely communication with the accounts team regarding deposit payments.
