Why this role exists
Our senior sales agents spend their time where they add the most value: client conversations, negotiation, and closing. This role exists to take sales admin and CRM work off their plate, so deals move faster, data stays clean, and nothing drops between the cracks. As Sales Coordinator / Deal Support, you’ll be the operational backbone behind high-performing agents: organised, detail-oriented, and calm under pressure.
What you’ll do
- CRM & Deal Admin
- Own CRM hygiene (Zoho initially; HubSpot migration planned).
- Create and update deals, contacts, stages, fields, notes, and next steps.
- Log activity accurately (calls, emails, meetings, outcomes).
- Ensure mandatory fields and stage requirements are completed on time.
- Scheduling & Follow-ups
- Manage calendars, meeting bookings, and follow-ups.
- Track actions and deadlines so nothing gets missed.
- Keep deals moving forward without agents chasing admin.
- Deal Support & Internal Handoffs
- Prepare and manage deal documents (shortlists, firm offer forms, internal notes).
- Coordinate handoffs to finance, contracts, and logistics.
- Act as the central point of coordination once a deal is live.
- Process & Playbooks
- Document workflows, edge cases, and best practices.
- Help build a repeatable support playbook for senior / high-performing sales agents.
- Support clean process migration during the upcoming CRM switch.
Your first 90 days (what success looks like)
- Run CRM admin for assigned agents without supervision.
- 95%+ of deals kept up to date with clear next steps and dates.
- Zero internal confusion on deal status or ownership.
- Clear, documented workflows ready for CRM migration.
- Tangible time saved for senior sales agents.
About you
Must-haves
- Extremely organised; you enjoy keeping systems tidy.
- Comfortable working in CRMs (Zoho, HubSpot, Salesforce, or similar).
- Strong attention to detail and follow-through.
- Confident communicating with sales, finance, and operations.
- Calm, reliable, and proactive in a fast-moving environment.
Nice-to-haves
- Experience in sales admin, sales ops, customer success ops, or deal desk roles.
- Exposure to events, agencies, or professional services.
- Interest in process improvement and documentation.
Qualifications
