About The Role Who We Are Looking For
This is a permanent contract, working 37 hours per week, 40 weeks per year.
This Job Description is not a comprehensive definition of the post. Regular discussions will take place to clarify individual responsibilities within the general framework and character of the post, as identified below.
Undertake all tasks associated with providing administrative, secretarial and clerical support to Principal and Executive Principal.
This Includes
- Word processing all types of communication, including emails and letters
- Dictation, using either shorthand or audio
- Managing incoming and outgoing post and internal documentation
- Preparation of replies to routine correspondence
- Managing incoming and outgoing telephone calls
- Identifying urgent issues and responding appropriately
- Taking minutes of meetings
- Co-ordination and maintenance of diary
- Liaison with main office regarding Principal and Executive Principal activities
- Arranging copying/printing, liaising with Resources as necessary
- Organising and maintaining an effective filing system Assist with the personnel functions of the college, including maintaining personal staff records Support for Governor/ASC meetings
- Produce agendas
- Print, collate, and circulate papers
- Produce minutes
- Ensure that room set-up and hospitality is provided at meetings as required Produce minutes and agendas for any other meetings attended by the Executive Principal and/or Principal Work with the other members of the administration team to ensure full support and coverage Providing ad hoc support as required to Senior Leadership Team Other duties as reasonably required.
Who We Are Looking For
- Educated to GCSE or equivalent, including English and Mathematics
- Skilled user of Microsoft Office, with the ability to produce, create and edit documents using Word, Excel, Powerpoint, and Outlook
- Able to maintain strictest confidentiality and integrity at all times
- Sensitivity in collaborative work with colleagues
- Highly organised and efficient and able to work to tight deadlines
- Good written and verbal communication skills and be able to relate well to all stakeholders
- Ability to take accurate and comprehensive minutes of meetings
- Formal Administration Qualification – Desirable
- Experience of working in an administrative/secretarial capacity
- Ability to work in a team
- Experience of working independently
- Experience of organising and minuting meetings
