Charlie House is a locally based children’s charity which engages in activities and projects to support children with life-limiting and life-threatening conditions, and their families, in North-east Scotland. We have an exciting opportunity within our team for an experienced, organised self-starter to join us part time as Finance Manager, reporting to the CEO.

The Finance Manager will provide strategic financial management advice to the CEO, Senior Management Team (SMT) and Board of Trustees. This role leads the accounting and finance function of the Charity and its associated social enterprises, whilst ensuring finance policy, procedures and financial governance is developed and maintained in line with regulations.

Position: Finance Manager

Type: Part-time (Permanent)

Hours: 22.5 - 30 hours per week (flexible)

Salary: £50,000 - £60,000 per annum - Dependent on Experience (pro rata)

Location: Aberdeen Office

Reports to: CEO

Responsible for: Finance Assistant

Role purpose: To provide strategic financial management advice to the CEO, Senior Management Team (SMT) and Board of Trustees. Lead the accounting/finance function of the charity and its associated social enterprises and projects to deliver the agreed vision, strategy, values and specific objectives of Charlie House.

Responsibilities:

  • Oversee the daily accounting process for Charlie House and its associated social enterprises.
  • Work closely with the Senior Management Team and the Board to contribute to the strategic leadership of Charlie House, playing a crucial role in providing financial and governance expertise and challenge.
  • Develop and implement robust financial controls, policies, procedures, and systems to ensure they support the organisation and meet all legal and contractual obligations.
  • Ensure that the CEO and SMT are appraised of key financial issues that need to be discussed with the Board of Trustees, to enable them to fully understand the financial position of the charity.
  • Lead and advise on the annual budgeting process.
  • Work closely with SMT to formulate and implement the Charity’s income generation strategies, including budget modelling for new services and retenders.
  • Manage the finance function to deliver robust financial controls and mitigating risk.
  • Provide regular management accounts and cash flow projections to the CEO, SMT and the Board including accurate ongoing financial analysis.
  • Manage and track the income and expenditure of Capital Appeal and restricted funds to enable timely reporting to funders, whilst acting in an advisory role to the Grants & Trust funding application team.
  • Responsible for cost allocation recovery.
  • Consolidate and prepare annual financial statements and the financial year-end and liaise with external auditors to complete annual accounts and reporting.
  • Arrange and manage the annual external Audit process.
  • Prepare and upload annual accounts to OSCR (Office of Scottish Charity Regulators) and Companies House.
  • Responsible for preparing and arranging the annual insurance renewals for the Charity and its subsidiaries.
  • Responsible for stock management process including coordinating regular stocktakes across the Charity and its subsidiaries and investigation of any discrepancies.
  • Lead, motivate and develop a performance-led finance team.
  • Deliver quarterly finance management reports to the board and SMT.
  • Responsible for payroll, payroll accruals and recharging costs to subsidiaries of the Charity.
  • Invest and manage any cash reserves as approved by CEO/Board.
  • Produce quarterly VAT returns for the Charity subsidiaries and submit to HMRC within their deadlines.
  • Responsible for effective treasury management and investigation of any discrepancies.
  • Finance administration responsibilities, including development of reports, for Salesforce, Banking, Financial Accounting System.
  • Maintain awareness and knowledge of charity finance legislation and other relevant finance developments and policies.

This list is not exhaustive and other duties will be required to be undertaken from time to time to ensure the effective delivery of responsibilities associated with the post.

Key external contacts: You will develop strong links with: Accountants and Auditors; funding bodies, foundations and donors.

Key internal contacts: Chairperson, Board of Directors, CEO, Director of Services, Director of Fundraising, Business Support Co-ordinator, Finance Assistant and all Charlie House Personnel and volunteers.

Financial dimensions: You will be responsible for leading the preparation of the annual budget in cooperation with the Board of Directors and Senior Management Team and reporting as such to ensure delivery of all projects.

Other considerations: Ensure regulatory compliance with respect to the finance function – with internal policy and procedure alongside external requirements. You may be required to travel throughout the North-east although expenses are covered and time off in lieu is given where possible and/or appropriate.

Holiday entitlement: 31 days annual leave plus 4 public holidays (pro-rated to hours worked) and 1 day off for your birthday.

Essential Qualifications: Professional Accountancy qualification, Membership of Professional body.

Desirable experience: Experience of working within a third sector organisation.
