IT Coordinator FTC 6 Months

Information Security Coordinator plays a vital supporting role within the Information Security team, reporting directly to the Head of Information Security. This position is responsible for coordinating team activities, managing reporting processes, providing administrative support, and ensuring the smooth operation of the team.

You will work closely with all the Information Security team and interact with the entire Technology Department and numerous stakeholders across the firm, where you’ll be expected to provide effective communication, maintain team documentation, and support and improve the implementation and management of our information security initiatives.

Roles and Responsibilities

  • Coordinate schedules, document meetings, and monitor activities for the Information Security team.
  • Serve as the primary point of contact for managing communications out to the wider organization through the Technology and Internal Communications Teams.
  • Assist in onboarding and offboarding new team members, consultants and maintaining team records.
  • Identify bottlenecks, inefficiencies, or ambiguities and resolve them quickly with practical, workable solutions.
  • Track team progress against agreed objectives, flag risks early, and proactively propose course corrections.
  • Prepare, compile, and distribute regular reports focusing on reported security incidents, compliance status, and team activities.
  • Help maintain accurate records of risk assessments, audits, and security incident response actions.
  • Support the Head of Information Security in preparing presentations, dashboards, and executive summaries.
  • Manage team documentation, including policies, procedures, and training materials.
  • Support the team’s management of the shared resources and knowledge base.
  • Support the Technology Team’s Assistant to track and process invoices, purchase orders, and budget-related documentation for the Information Security Team.
  • Support the third-party and supplier assurance function to improve their processes and keep all associated documentation up to date.

Skills and Experience

  • At least 5 years’ experience in an administrative, coordination, or support role, preferably within a Technology Department or Information Security Team of a legal firm.
  • Familiarity with implementing repeatable, scalable processes across teams.
  • Strong organisational and prioritisation skills, with the ability to manage multiple tasks and priorities at pace.
  • Excellent communication skills, capable of translating high-level statements into clear action points.
  • Proficiency in office productivity tools (e.g., Microsoft Office Suite) and data tracking via MS Excel.
  • Attention to detail and a high level of accuracy in documentation and reporting.
  • Pragmatic problem solver who can cut through the noise and find workable solutions.
  • Ability to handle sensitive and confidential information with discretion.
  • Basic understanding of information technology and information security concepts is desirable.
