Position Overview

The Admissions Coordinator will facilitate and evaluate therapeutic, medical, and financial arrangements for incoming chemically dependent patients and/or family members.

This full-time position is based in Quincy, MA, with the requirement to work every other weekend.

Specific Responsibilities

  1. Serve as the first point of contact for all incoming phone inquiries regarding admissions.
  2. Provide telephone and in-person assessments, verify benefits, and establish initial contact with referral sources and potential patients.
  3. Discuss financial options with patients and respond to insurance-related questions.
  4. Obtain appropriate clinical and demographic information to secure insurance authorization, including recommendations for level of care and length of stay.
  5. Schedule tours for prospective patients and their families, and coordinate admissions.
  6. Maintain communication with potential patients, unit staff, referral sources, and families as appropriate.
  7. Collaborate with nursing and RSS staff to ensure timely admissions and provide orientation to program aspects for patients post-admission.
  8. Ensure prompt responses to patient needs.
  9. Record data and document in the EHR system (or Salesforce).
  10. Collect and analyze departmental performance data, providing regular feedback to the Program Director regarding call quality, volume, and marketing efforts.
  11. Review and maintain all departmental documents and logs.
  12. Work with the Program Director to maintain census levels and participate in marketing or outreach activities as needed.
  13. Assist counselors and senior staff in crisis intervention as needed.
  14. Perform other job-related duties as assigned.

Education and Experience

  • Bachelor’s degree in psychology or a related field, or
  • Associate’s degree with at least 1 year of relevant experience, or
  • High school diploma with at least 2 years of similar experience.

Experience in substance abuse services admissions is strongly preferred. Knowledge of HIPAA policies and proficiency with Microsoft Office are required. Strong communication and negotiation skills are essential.

  • Travel: Primarily local during the workday, with some out-of-area and overnight travel expected.
