An exciting opportunity has arisen within our Audiology Reception Team based at Darlington Memorial Hospital. The role involves providing effective and efficient clerical, reception and administrative support within the Audiology Department, ensuring that administration processes meet the needs of all service users.

Working 37.5 hours per week as part of our Audiology reception team, the post holder will use their own initiative and work independently, often without supervision. The ability to work under pressure, both individually and as part of a team, is important to ensure deadlines are met. Good organisational and interpersonal skills are essential to achieve this, with excellent customer service skills required for this role. The successful candidate will be based at Darlington Memorial Hospital and may be required to work at other sites within the Trust if necessary. Some initial training will take place at University Hospital North Durham.

Main Duties and Responsibilities

  • Book and cancel patient appointments, both face‑to‑face and on the telephone, entering them on the Trust patient administration system (Cerner) and the Audiology patient administration system (AuditBase).
  • Send out booking details and related material promptly.
  • Handle non‑electronic referrals and register patients on the PAS.
  • Ensure that tests and reports are forwarded to other departments and logged correctly.
  • Coordinate with other professionals, patients and departments to arrange appointments.
  • Manage postal requests for batteries and accessories, ensuring prompt handling and correct logging.
  • Book and cancel patient interpreters for appointments where necessary.
  • Maintain compliance with local and national targets related to appointment booking and cancellation.
  • Maintain demographic and appointment data in the system.
  • Check in and out all Audiology patients correctly on Cerner and AuditBase.
  • Log hearing aid repairs in and out of the department.
  • Manage incoming and outgoing communications for patients and staff, including post, emails, telephone calls and voicemail messages.
  • Open and distribute incoming mail and provide relevant supporting information.
  • Provide administrative support for the Audiologists when appropriate.
  • Provide photocopying as required for departmental events.
  • Use initiative and work without direct supervision.
  • Communicate appropriately with patients who are deaf or hard of hearing and their families, and those with specific communication requirements.
  • Present a professional appearance and demeanour suitable for a service working with patients.
  • Undertake any other duties and responsibilities as requested, appropriate to the banding, to ensure smooth running of the department.

Person Specification

  • Qualifications: 5 GCSEs grades A‑C or NVQ Level 2 in Business & Administration or Customer Care or equivalent experience.
  • Experience: Working in a busy office environment.
  • Desirable Experience: NHS Reception Experience.
  • Special Skills & Knowledge: Knowledge of 18‑week referral to treatment, organisational skills, ability to work under pressure and prioritise tasks, keyboard skills, attention to detail.
  • Special Requirements: Good interpersonal skills, approachable and friendly, ability to maintain strict confidentiality, willingness to undertake any training required for the post, ability to travel across sites.
