Overview
Income Processing Officer – Location: Central London (hybrid working – initial training onsite, then hybrid). Duration: 6 months initially, with potential to extend. Working schedule: Full-time, 35 hours per week. Pay: £20.86 per hour plus £2.52 holiday pay per hour. Interviews: w/c 15th September. Start date: End of September or early October.
Charity People are delighted to be supporting a charity in the search for an Income Processing Officer to join their small but fast-growing data operations team.
This is a fantastic opportunity for a detail-oriented and process-driven individual to contribute to the efficient and accurate handling of income and supporter data. The successful candidate will support the smooth running of income processing, reconciliation, and Gift Aid preparation within a busy fundraising environment. Working closely with Finance and Fundraising colleagues, you\\u2019ll be responsible for maintaining the accuracy and integrity of the charity\\u2019s CRM (ideally Dynamics 365), ensuring data is correctly coded, imported, and reconciled, and supporting documentation and reporting for audit-readiness. This is a data heavy role.
Responsibilities
- Import and process income from all channels (cheques, cash, online platforms, bank transfers, legacies, corporate donations).
- Apply codes accurately to each transaction record, including fund, campaign, appeal, designation, project, restriction, and method codes.
- Conduct daily and weekly CRM to bank reconciliations as per the E2E process and related procedures.
- Prepare and support month end income reconciliation for journals into Xledger.
- Log and track data discrepancies (e.g., missing codes, unmatched records, duplicates), escalating where required.
- Support Gift Aid readiness by validating declarations and ensuring eligibility on transactions is coded correctly.
- Coordinate closely with Finance to ensure journal outputs are accurate.
- Contribute to data cleansing and reporting to improve CRM data quality.
You will bring
- Proven ability to process high volumes of income transactions accurately and efficiently.
- Strong attention to detail, with confidence in spotting and resolving data discrepancies.
- Good understanding of financial controls and the importance of segregation of duties.
- Ability to balance BAU income processing with adoption of new processes and improvement tasks.
- Understanding of Gift Aid rules, data protection (GDPR, PCI, PECR), and audit requirements.
- Understanding of Data Protection Act and other relevant regulations such as GDPR, PCI, PECR, Gift Aid.
- Experience importing income data into CRM systems (Dynamics 365 preferred).
- Understanding of reconciliation and income processing within a nonprofit or fundraising setting.
- Strong Excel skills and the ability to work with reports and reconciliation tools.
- Excellent attention to detail and ability to maintain high data accuracy.
- Good knowledge of Gift Aid, coding, and financial tracking.
