Chapters Brand Group is a rapidly expanding global fashion manufacturer and distributor specializing in footwear, apparel, and accessories. Following our recent European expansion via a new 3PL warehouse hub in the Netherlands, we now service an extensive international market including France, Spain, Ireland, Italy, and upcoming territories like Germany, Greece, and Cyprus alongside our established UK base.
We are seeking a proactive, highly organized Operations Assistant to manage the end-to-end supply chain and order fulfilment operations for two of our core brands. This role requires an individual who thrives in a fast-paced environment, possesses razor-sharp attention to detail, and excels at solving problems before they impact the business.
Key Responsibilities
- Order Management & Data Integrity
- Reconcile Orders: Oversee all Sales Orders (SOs) and Purchase Orders (POs) to guarantee 100% accuracy across product lines, colourways, and size matrixes and correct any errors in conjunction with the sales team.
- Timeline Alignment: Continuously audit and match production, shipping, and delivery schedules to ensure customer delivery dates strictly align with inbound stock availability and keep customers and sales teams updated.
- Data Maintenance: Keep the internal ERP/system updated with real-time tracking, stock arrivals, and order status changes.
- Logistics & 3PL Coordination
- Compliance Management: Review and document bespoke customer manuals to ensure all shipments meet exact packing, labelling, and delivery booking requirements.
- Warehouse Communication: Liaison closely with our 3PL providers to ensure outbound shipments are packed, labelled, and dispatched efficiently.
- Proactive Problem Solving & Customer Care
- Issue Resolution: Act as the primary operations contact for order discrepancies, delivery delays, or customer complaints, resolving them swiftly and professionally.
- Risk Mitigation: Analyse order workflows daily to identify potential bottlenecks, stock shortages, or date mismatches, solving issues before they become live problems.
- Continuous Improvement: Suggest improvements to current operational workflows to boost efficiency across our growing European network.
Required Skills & Qualifications
- Experience: Minimum 2 years of experience in fashion operations, FMCG, supply chain, logistics, or wholesale order management.
- Attention to Detail: Exceptional precision when managing high-volume data spreadsheets, SKU variants (sizes/colors), and compliance manuals.
- Proactive Mindset: A naturally inquisitive, solution-driven attitude with the ability to foresee supply chain issues.
- Communication: Excellent verbal and written communication skills to effectively manage relationships with international teams, 3PL partners, and major retail clients.
- Tech Savvy: Strong proficiency in Microsoft Excel (VLOOKUPs, Pivot Tables) and familiarity with ERP or warehouse management software.
- Language Skills: Fluency in English is required; knowledge of European languages (e.g., French or Spanish) is an advantage but not essential.
