Office expectation: The successful candidate is expected to be in the office 4 days a week, with working from home on a Thursday. Please note this is essential.
Onboarding: During the first four weeks of onboarding, the successful candidate will be expected to be on‑site full‑time.
Working days and hours: Monday to Friday, the client is happy for candidates to work 8.00am to 5pm or 9.00am to 6pm with 30 minutes lunch per day (8 hours per day, 40 hours per week).

Role Overview
As Pharma Operations Coordinator you will be a vital member of our client’s industry‑leading Orders team, where we service retail and wholesale channels across the UK. Team Orders is responsible for core functions such as Procurement, Distribution, System Management and Customer Experience; the company operates in a fast‑paced environment where they service orders daily, answer customer queries and navigate the complexities of distributing unlicensed Schedule 2 controlled drugs. You will provide support for the wider team spotting where they need to bolt on improvements and address risks.
Duties and Responsibilities:
- Assist in processing pharmaceutical orders from retail and wholesale customers via email and procuring stock from domestic and international suppliers (40% of the role)
- Support the various systems in place (e.g. inventory management, order processing) to manage the business, helping to further develop them as our client grows (15% of the role)
- Work alongside Team Quality to help drive pharmaceutical compliance throughout the Orders System and QMS, following Good Distribution Practice (GDP) principles (15% of the role)
- Play a leading role in managing the client’s customer base and assist in building processes to be the very best for them and their patients (10% of the role)
- Provide administrative support for the wider Operations Team (10% of the role)
- Perform basic data analysis (10% of the role)
Essential Skills and Experience:
- Familiarity with operational processes and metrics (e.g. inventory management, logistics, lead times)
- Wholesale distribution experience, experience working in fast‑paced environments (e.g. startups, new and emerging industries)
- Ability to self‑direct and meet daily ordering cut off times
- Able to work effectively in a team setting and engage with external partners
- Advanced Proficient in Microsoft Excel (including pivot tables)
- Microsoft Office
Experience Advantage:
- Experience using VLOOKUP, and Power BI
- Experience using work management tools, 3PL systems, VPS systems and CRM systems
Personal Specification:
- Resilient and self‑motivated
- Passionate about patients and medical outcomes
- Interested in building a company from the ground up
- A natural “procedure person”, with a keen analytical mindset
- Excellent written and verbal customer service experience and skills
Preferred Education:
Undergraduate degree in Economics/Math/Data Science or equivalent field is preferred.
