Chappell Enterprises UK is recruiting on behalf of an established and growing landscape construction company based near Camberley.

The company delivers high-quality residential landscaping projects across Surrey, Berkshire and London and is looking for an experienced Office Administrator to provide day-to-day administrative, bookkeeping and organisational support.

This is a varied position supporting the business owner and operational teams.

The successful candidate must be comfortable managing competing priorities, responding to changing requirements and taking ownership of the many practical tasks that arise within a growing landscaping business.

About the Role

As Office Administrator, you will be responsible for keeping the company's administrative and financial processes organised and up to date.

You will work closely with the business owner, acting as a reliable point of support across bookkeeping, purchasing, diary management, client communication, workforce administration and general office coordination.

The role requires someone who understands how an operational landscaping, grounds maintenance or construction business functions.

You must be comfortable communicating with suppliers, site teams, subcontractors, clients and professional advisers.

No two days will be identical, so you will need to be practical, resourceful and willing to manage anything else that comes up.

Key Responsibilities

  • Provide general administrative and secretarial support
  • Act as a Personal Assistant to the business owner
  • Manage diaries, appointments, meetings and reminders
  • Handle telephone calls, emails and general correspondence
  • Complete bookkeeping and maintain accurate financial records
  • Process purchase invoices, receipts and expenses
  • Raise sales invoices and monitor outstanding payments
  • Liaise with the company's accountant or external bookkeeper
  • Assist with bank reconciliations and financial reporting
  • Prepare documents, letters, quotations and spreadsheets
  • Order materials, tools, stock, uniforms and PPE
  • Maintain records of stock, equipment and company assets
  • Liaise with suppliers and obtain prices for materials
  • Coordinate deliveries to sites and the company premises
  • Support project teams with purchase orders and job information
  • Maintain employee and subcontractor records
  • Collate timesheets, working hours and payroll information
  • Assist with holiday, absence and training records
  • Maintain vehicle, insurance, servicing and equipment documentation
  • Help monitor health and safety paperwork and compliance records
  • Support the preparation of quotations, tenders and client documentation
  • Maintain electronic and paper filing systems
  • Monitor office supplies and arrange replacements when required
  • Assist with customer enquiries and follow-up communication
  • Help coordinate new starters, uniforms, PPE and company equipment
  • Support the owner with ad hoc business and administrative tasks
  • Identify opportunities to improve office systems and working processes

What We're Looking For

  • Previous experience in an administrative role within landscaping, grounds maintenance, construction or a closely related operational business
  • Experience completing bookkeeping or finance administration
  • Strong organisational and time-management skills
  • Confidence managing several priorities at the same time
  • Excellent written and verbal communication skills
  • Professional and confident telephone manner
  • Good working knowledge of Microsoft Word, Excel and Outlook
  • Experience using bookkeeping or accounting software
  • Ability to work independently and use initiative
  • High attention to detail and accuracy
  • A reliable, flexible and practical approach
  • Confidence communicating with site teams, suppliers, clients and subcontractors
  • Willingness to take ownership of tasks and follow them through to completion
  • Ability to handle confidential information appropriately

Experience supporting a company director, managing payroll information, preparing quotations or assisting with tenders would be advantageous.

Working Hours

This is primarily a full-time position. However, the employer may consider a degree of flexibility around the working pattern for the right candidate.

Regardless of the agreed hours, the successful person must be available and working between 09:00 and 12:00, Monday to Friday, as this is a key period for communication with the owner, site teams, clients and suppliers.

Any flexible working arrangement will be discussed individually and will depend on the experience and availability of the applicant.

Salary and Benefits
