Department: Commissioning Operations

Status: 6 month FTC

JOB PURPOSE

To provide high-level administrative and organisational support across two key focus areas within Commissioning Operations:

  • High-Risk Productions: Supporting the implementation and tracking of security protocols in high-risk filming environments.
  • Sustainable Productions: Supporting environmentally responsible production processes and editorial sustainability initiatives.

This role supports planning, documentation, communication, stakeholder engagement, data management and presentation delivery across both areas.

Administrative & Diary Support

  • Manage complex diaries for senior team members.
  • Schedule meetings ensuring necessary preparation time and avoiding conflicts.
  • Organise logistics such as travel, venues, and internal/external attendee coordination.
  • File and process expenses and handle confidential information sensitively.

Meeting Support

  • Coordinate and attend internal and external meetings, briefings, and workshops.
  • Take accurate notes, record action points, and ensure follow-ups are actioned.
  • Maintain and update contact lists of key stakeholders, suppliers, and consultants across both domains.

Presentation & Design Support

  • Assist in drafting internal reports, and visual storytelling materials.

HIGH-RISK TEAM RESPONSIBILITIES

Project Tracking & Documentation

  • Log and track high-risk productions throughout their commissioning lifecycle.
  • Ensure all protocols and final documents are archived and accessible in collaboration with Channel 4 Legal & Compliance.
  • Maintain a master log of high-risk team activity, including meetings with external stakeholders.

Training & Resource Management

  • Organise high-risk filming training sessions and maintain attendance records.
  • Generate internal reports on relevant suppliers, locations, and production practices.
  • Support creation of briefings and resources to enhance safe production planning.

SUSTAINABLE PRODUCTION RESPONSIBILITIES

Data & Compliance Tracking

  • Support with updating sustainability tracking systems (e.g. Monday.com), ensuring timely and accurate data entry.
  • Monitor production submissions (e.g., sustainability forms) and flag outstanding items.
  • Support reporting for internal sustainability goals and external industry metrics.

Intervention & Editorial Support

  • Support in identifying productions needing higher levels of sustainability support based on high carbon impact or editorial opportunity.
  • Help to prepare materials for workshops, briefings, and editorial climate content resources.
  • Keep tools and guides up to date and easy to access for editorial and production teams.

ESSENTIAL SKILLS & EXPERIENCE

  • Strong diary and task management skills, across multiple stakeholders and competing priorities.
  • Experience in admin roles requiring discretion, time management, and workflow coordination.
  • Skilled in Word, Excel, PowerPoint, Canva, InDesign, and Monday.com or equivalent tools.
  • Confident note-taker and capable of synthesising actions across teams.
  • Experience with stakeholder liaison.
  • Highly organised, detail-oriented, and proactive.
  • Passionate about responsible and safe production practices.
  • Calm under pressure, solutions-oriented, and adaptable.
  • Friendly, diplomatic communicator with a team mindset.
  • Eager to learn, take initiative, and contribute to a fast-paced environment.
