My client is seeking a professional, service-driven Conference Co-ordinator to deliver exceptional meeting and conference experiences within a premium business centre environment in the heart of the City. This is a hands-on, highly active role based in and around meeting and conference spaces rather than behind a desk. You will be the first point of contact for internal clients, ensuring rooms are perfectly prepared, catering is delivered to a high standard, and every detail is handled with care and efficiency.
Working closely with the Conferencing Manager and wider centre team, you will play a key role in the smooth delivery of meetings and events while supporting revenue growth through excellent service and proactive upselling.
Key Responsibilities- Deliver seamless meeting and conference services from enquiry through to delivery
- Set up meeting rooms to client specifications, including furniture, AV and equipment
- Prepare, serve and clear refreshments and lunches to a high presentation standard
- Manage internal meeting room enquiries and ensure all bookings are accurately recorded
- Order catering and manage food and beverage preparation, including fresh and bought-in lunches
- Take payments and accurately log all services for invoicing and billing
- Maintain immaculate presentation and visual standards across all meeting spaces
- Act as a friendly, professional first point of contact for internal clients
- Support the Conferencing Manager with external accounts and repeat business
- Assist with marketing initiatives and revenue-generating activity
- Ensure compliance with health and safety, food safety and company procedures
- Support reception and wider centre operations when required
- Customer-focused with experience in hospitality, events, conferencing or client services
- Comfortable in a hands-on, fast-paced environment
- Confident communicator with a warm, professional approach
- Highly organised with strong attention to detail
- Able to juggle multiple meetings and priorities calmly and efficiently
- A team player who takes pride in delivering outstanding service
- Competent with Microsoft Office and basic systems
- Flexible, proactive and willing to support across the wider business centre
