We're looking for an organised and proactive Data Administrator to join the HMP Hindley service. This is an exciting opportunity to play a vital role in supporting the safe delivery of psychosocial services, working closely with recovery teams and Prison Staff. Location: HMP Hindley

Full Time Hours: 37.5 per week

Contract: Permanent

Responsibilities

  • As first point of contact within the service, ensure that visits from external visitors are escorted into and outside of the establishment.
  • First point of contact for all telephone calls into the service, dealt with promptly and courteously, transferring calls to appropriate personnel when necessary.
  • Taking and conveying confidential, accurate and sensitive information to staff.
  • Processing of correspondence in and out of the prison post room.
  • Minute taking at service meetings.
  • Maintaining and recording statistics of people in service; assist with data entry as required, NDTMS, SystmOne, and clinical specific data.
  • Assist with the setting up and maintaining of accurate filing systems within the service.
  • Monitoring and ordering office stationery/requirements.
  • Photocopying as required.
  • Assist with development and maintenance of efficient, record-keeping and communication systems within the service.
  • Assist with generating controlled drugs prescriptions for release using the SystmOne case management system.
  • Booking and preparing meeting rooms.

About you:

  • Knowledge and experience of general office procedure and administrative duties.
  • IT literacy including proficiency in data collection systems (e.g. NDTMS, Public health).
  • Expertise in working with WORD, EXCEL, and ACCESS IT packages.
  • Experience of maintaining databases and other data management systems.
  • Show a capacity to work alone and the ability to keep calm under pressure.
  • Employ an empathetic and non-judgmental attitude towards service users.
