Join us in this dynamic, multi-faceted role at CHANEL’s UK Learning and Client Care hub in Mayfair. This opportunity is ideal for a highly organised, proactive professional in a fast-paced, people-focused environment. Based at Reception and as the first point of contact for all learners and guests, you will blend three essential functions that keep the House of Learning running smoothly.
Working with the Training Events & Coordination Manager, you will support the full spectrum of training coordination tasks, front of house duties, and executive assistance to the Training Director (diary management and travel/expense tasks). This role requires excellent attention to detail, the ability to manage multiple priorities, and independent supervision of the House of Learning inbox for a variety of logistics and information requests.
Key responsibilities
Training Coordination Support
- Send event invitations, support enrolment processes, and maintain training attendance data.
- Coordinate catering schedules and orders, liaising with janitors and suppliers; handle invoicing and procurement via internal systems.
- Communicate with learners and collaborators to follow up on missing information; manage the House of Learning inbox professionally.
- Provide general administrative support to the Training Events & Coordination Manager and the wider team.
- Assist with travel and hotel bookings for training delegates and events as required.
- Ensure high data accuracy across divisional trackers and contribute to internal reporting and learning initiatives.
Receptionist & Executive Assistant Duties
- Be the welcoming face of CHANEL at the learning centre, upholding brand standards and our people-centric culture.
- Manage learner check-ins, lunch orders, and general training enquiries via email and Teams.
- Liaise with janitors and suppliers to maintain catering inventory.
- Manage room booking requests, schedule viewings, and update calendars across Outlook and the internal training calendar.
- Handle deliveries, coordinate internal couriers, organise the post room, and oversee inventory of supplies.
- Maintain reception handover documents and support onboarding of temporary staff.
- Raise and follow up on IT and maintenance issues, liaising with contractors and internal teams.
- Collaborate with on-site security to work with contractors and maintenance staff.
- Support Training Director with diary management, travel/hotel bookings, and expense management.
