We are seeking a highly efficient Executive Assistant to support our Fragrance & Beauty Director whilst ensuring effective governance across the F&B division in the UK.
What impact you can create at Chanel: As the Executive Assistant, you will play a crucial role in enhancing the productivity of F&B teams by delivering first-class administrative and organisational support. Your ability to expertly manage complex diaries, facilitate seamless communications, and use smart technologies will be essential in maintaining a professional, agile, and discreet environment. You will be trusted with confidential information, always ensuring integrity and discretion.
Key Responsibilities- Provide comprehensive administrative support to the Fragrance & Beauty Director and some team members on ad hoc basis, ensuring smooth operations and achievement of company objectives.
- Manage complex scheduling, calendars, and travel arrangements for the F&B Director, anticipating needs and proactively addressing potential diary conflicts.
- Coordinate and meticulously organise meetings, events, and communications for both internal and external stakeholders, ensuring every detail is considered.
- Prepare and manage ad hoc reports, presentations, and correspondence for executive meetings and business activities, always upholding the brand’s standards of excellence.
- Oversee accurate and timely expense report management, including compiling monthly summaries and tracking business-related expenses for senior leadership.
- Take ownership of the end-to-end organisation and coordination of the F&B team’s Townhall, including agenda development, specific content creation, meeting room or venue selection, invitation management, and ensuring a seamless event experience for all attendees.
- 5+ years of experience as an Executive Assistant or in a similar role, preferably within corporate organisations.
- Exceptional organisational skills with the ability to manage multiple priorities and meet deadlines.
- Able to prioritise workload, anticipate needs, think critically, and react with appropriate levels of urgency to situations and events that require a quick response or turnaround.
- High level of professionalism, integrity, and ability to maintain confidentiality.
- Strong written and verbal communication skills, with a keen attention to detail.
