Your role @CHANEL: Project Coordination
The successful candidate will support the Visual Design Team as the operational lead for project coordination and delivery once the design phase is complete. The role ensures concepts are delivered efficiently and within budget by managing briefing, timelines, procurement, logistics, suppliers and installations, acting as a key liaison between Visual Design, VM, wider business teams and external partners. You will support the creative operating model by aligning ways of working with global frameworks, maintaining clear comms, budgets and strong project discipline.
Using systems and tools to streamline workflows across creative functions, the Project Coordinator drives continuous improvement, introducing efficiencies that support high-quality creative output. Acting as a gatekeeper for incoming requests, ensure briefs are complete and expectations are managed. The ideal candidate is highly organised, collaborative and detail-driven, with strong interpersonal skills and a clear interest in design or retail design, supported by relevant coordination or project experience.
What impact you can create at Chanel:
- Collaborate and support the manufacture, delivery, installation and derig of all trade and promotional activity across UK and TR, ensuring strong creative execution in line with Visual Design intent.
- Procure and manage 3D design concepts and technical layouts from the Visual Design team through to installation, ensuring compliance with guidelines and specifications.
- Manage supplier relationships, procurement processes, reporting and accountability, ensuring effective delivery, clear communication and value for money.
- Oversee budgets, financial administration and PO coding, maintaining accurate foresight and clear communication of working budgets to internal stakeholders.
- Support sustainability and CSR initiatives by embedding environmentally responsible practices, managing material lifecycles and ensuring recycling of redundant or end-of-life assets.
- Proactively manage comms, keeping teams informed of timelines, risks, delays and changes, while evolving tools, systems and workflows to improve efficiency and campaign execution.
- Support with project management of all graphic design projects within the Visual Design Team.
Supporting all Fragrance and Beauty departments to create interactive and engaging events:
- Work closely with internal departments to co-ordinate engaging and interactive design concepts for staff events such as product launches.
- Work with the PR team to coordinate high-profile Open-Door PR events in Head Office and externally for influencers and magazine editors, including PM, installation and derig.
- Artworking, layouts, approvals and communications across these projects to support the activity.
- Coordinate emails, invitations and internal collateral to support events.
- Support all internal teams with coordination of locally designed initiatives.
- Support internal teams with assistance for invitations and occasional events.
- Get involved with Social Commitment at CHANEL to build networking opportunities and support where possible across the business from a design and co-ordination perspective.
Other:
- Support the field visual merchandisers and wider design team in numerous day-to-day tasks as well as completing any other tasks deemed appropriate for the role.
- Manage the lifecycle of all creative projects, overseeing localisation and adaptation of global initiatives and UK-led projects in alignment with Global AD objectives, from briefing through to delivery.
- Act as the central point of contact for creative requests, sense-checking briefs, ensuring documentation accuracy, milestones and progress reporting to ensure timely, qualitative delivery.
- Work alongside our 5Q2 display team with logistical tasks and storage requirements.
