Challs International Group Ltd are looking for an exceptional and experienced P.A. to support a highly dynamic and fast paced Chairman. This is a trusted, senior level role requiring absolute discretion, sound judgement and the ability to stay several steps ahead at all times. The role is based in our very modern offices in Hadleigh Suffolk and will suit a confident and self-motivated individual who likes responsibility and to be fully involved in all aspects of the business.

The ideal candidate is calm under pressure, impeccably organised and comfortable managing competing priorities in a high stakes environment. You will be expected to develop and provide comprehensive organisational, administrative and programme support for a very busy but friendly and supportive Chairman. Proactively overseeing their workload, supporting or running projects on their behalf and assisting in office organisation.

Day to day duties include:

  • Provide full administrative support including diary management, arranging meetings, planning events, organising travel arrangements and managing expenses.
  • Full inbox management and diary management; to include monitoring, screening and prioritising emails and meetings.
  • Answering/fielding phone calls and other communication, and if appropriate, respond on the Chairman’s behalf.
  • Provide organisational support for various meetings run by the Chairman including providing supporting documentation, distributing agendas, organising presentations, writing and distributing minutes and following up on agreed actions where required.
  • Book travel and accommodation in the UK and internationally, preparing detailed itineraries.
  • Submit expenses efficiently and accurately.
  • Develop and maintain electronic, or other appropriate filing and storage systems, for key documents including correspondence and other key records.
  • Provide reports to the Chairman as required.
  • Manage agreed projects on behalf of the Chairman.
  • Act as a key gatekeeper, handling communication with senior executives, board members and external stakeholders.
  • Social Media – monitor and post relevant content on LinkedIn on behalf of the Chairman, Challs International and the company brands.
  • Meet and liaise with various departments, customers, suppliers, and other visitors, in a professional, discreet and confidential manner, befitting of the Chairman’s office.
  • Other ad hoc duties, including deputising for the Chairman, as may be reasonably required.
  • Provide occasional support to other Directors as requested by the Chairman.
  • Work to the company values and set an example to other employees.
