This is a four-month contract based in the UK, and it is not a background role. You will be the operational backbone of a team that moves quickly and holds a high bar.
What you’ll do:
- Own end-to-end interview scheduling for two EMEA recruiters — coordinating across UK, European, and APAC time zones without dropping the ball.
- Manage candidate communications, ensuring every touchpoint is timely, professional, and reflects a high-quality candidate experience.
- Maintain and update candidate records in the ATS, ensuring pipeline data is accurate and audit-ready at all times.
- Prepare and distribute interview materials, agendas, and panel briefs ahead of every interview loop.
- Flag scheduling conflicts, bottlenecks, or process gaps proactively — don’t wait to be asked.
- Support the team with administrative tasks including job postings, reporting, and internal logistics.
- Coordinate across stakeholders independently — hiring managers, panelists, and candidates — without needing hand-holding on standard workflows.
What we’re looking for:
- 1–2+ years of recruiting coordination, executive coordination, or high-volume administrative experience.
- Exceptional organizational skills with a proven ability to manage multiple competing priorities without things falling through the cracks.
- Strong communicator in writing and over video — clear, concise, and professional across every channel.
- High sense of urgency: you understand that slow scheduling hurts the candidate experience and costs the business.
- Comfortable operating independently in a remote, fast-paced environment — you do not need a manager to tell you what to do next.
- Confident managing multi-timezone logistics without a second thought.
- Experience with Greenhouse (ATS) or Gem is a strong plus — but if you haven’t used them before, you’ll pick them up quickly.
- Based in the UK with the ability to work UK business hours.
