The Role
We are looking for a highly organized, detail-oriented Recruiting Coordinator to support our Talent Acquisition team during a period of continued growth. This role is critical to delivering an exceptional candidate experience while enabling recruiters and hiring teams to move quickly and effectively across multiple time zones, functions, and interview formats.
This is an execution-focused role with real impact. You will be trusted to own complex scheduling, manage candidate logistics end-to-end, and partner closely with recruiters, interviewers, and hiring managers across technical, corporate, and go-to-market roles.
In this role, you will:
- Own interview scheduling across multiple time zones, supporting complex interview loops for technical, corporate, and go-to-market roles.
- Coordinate interviews across senior leaders, hiring managers, and cross-functional panels, navigating competing priorities and last-minute changes with confidence.
- Serve as a key point of contact for candidates throughout the interview process, ensuring a professional, responsive, and inclusive experience.
- Partner closely with recruiters to keep searches moving efficiently, proactively identifying and resolving scheduling bottlenecks. Engage directly with hiring managers to address real-time interviewer alignment and coordinate substitutions.
- Maintain accurate, high-quality candidate data in Ashby and Workday to support reporting, compliance, and operational insights. Partner with Recruiters, Recruiting Operations, and People Operations to support hiring workflows as needed.
- Leverage technology and automation to improve scheduling workflows and reduce manual effort wherever possible.
- Collaborate with the broader People and Recruiting teams to continuously improve interview processes, coordination practices, and candidate experience.
- Support hiring activity across multiple regions and time zones, adapting to different working hours and cultural norms as needed.
In one year, you will know you were successful if:
- You independently manage high-volume, complex interview scheduling with minimal escalations.
- Recruiters and hiring managers trust you as a reliable operational partner who keeps processes running smoothly.
- Candidates consistently provide positive feedback about communication, clarity, and overall experience.
- Interview data in Ashby and Workday is accurate, complete, and reliable for reporting and planning.
- You have helped improve at least one scheduling, coordination, or candidate-experience workflow through better process or tooling.
- You have a strong working knowledge of our interview structures and can anticipate needs before they arise.
We are looking for someone who:
- Has experience coordinating interviews or supporting recruiting, HR, or People Operations teams.
- Is comfortable scheduling across multiple time zones and managing complex calendars.
- Thrives in fast-paced, high-growth environments where priorities shift and speed matters.
- Is proactive, resourceful, and calm under pressure when plans change.
- Communicates clearly, professionally, and empathetically with candidates and internal stakeholders.
- Has strong attention to detail and takes pride in operational excellence.
- Is interested in growing a career in Talent Acquisition, People Operations, or Recruiting Operations.
Experience with the following tools is a plus:
- Ashby (ATS)
- Workday (HRIS)
- Slack
- Google Workspace (G Suite)
