Business & Operations Administrator – Part Time

Part-time | 20–25 hours per week | Monday–Friday

£29,000 - £31,000 per annum, FTE. Salary pro-rata.

Cevora Group is looking for an organised, proactive and dependable Business & Operations Administrator to join our growing team.

This is not simply a filing and data-entry position. We are looking for somebody who enjoys taking ownership, keeping things organised and making sure tasks are followed through from start to finish.

Working closely with our Director and Area Supervisor, you will become a central point of support within the business, managing much of the administration behind our commercial cleaning contracts, employees and project-based works.

Our Area Supervisor is responsible for our people, cleaning standards and the day-to-day performance of our contracts on site. Your role will complement this by making sure the administration, documentation, scheduling and systems behind those operations run efficiently.

What you'll be doing

Your responsibilities will include:

  • Maintaining client and commercial contract records.
  • Managing employee files and HR administration.
  • Preparing new starter and leaver documentation.
  • Monitoring DBS checks, training, qualifications and document expiry dates.
  • Maintaining sickness, absence and holiday records.
  • Collecting and checking employee timesheets.
  • Preparing accurate payroll information.
  • Supporting the administration of existing cleaning contracts including risk assessment writing, method statements and COSHH.
  • Maintaining contract folders, cleaning schedules and supporting documentation.
  • Managing the main mailbox responding to routine employee and client enquiries.
  • Monitoring office stock levels and ordering chemicals, consumables, PPE and other supplies.
  • Supporting recruitment administration and arranging interviews.
  • Assisting the Business Development Manager with follow-ups and administration.
  • Producing simple management information and highlighting outstanding actions or upcoming deadlines.

Project Administration

Once we have successfully secured a new project or piece of work, you will help turn the quotation into an organised live job.

This may include:

  • Creating the job file.
  • Preparing work order forms.
  • Preparing Risk Assessments and Method Statements using our existing systems and templates.
  • Collating COSHH and supporting documentation.
  • Recording costs and project information.
  • Obtaining and recording Purchase Orders.
  • Preparing information for the operatives attending site.
  • Helping allocate employees to projects.
  • Confirming dates and requirements with the team.
  • Ensuring completed paperwork is returned and filed correctly.

You will not be expected to price quotations or manage company accounts. These areas will remain with the Director and Business Development Manager.

Who we're looking for

The right person will be extremely organised but, more importantly, proactive.

We need somebody who sees that something needs doing and takes responsibility for getting it completed rather than waiting to be reminded.

You should be:

  • Highly organised with excellent attention to detail.
  • Confident managing several priorities at once.
  • Comfortable working independently.
  • Able to plan your own workload.
  • Confident speaking with employees, clients and suppliers.
  • Professional and approachable.
  • Comfortable dealing with confidential information.
  • Confident using Microsoft Outlook, Word and Excel.
  • Able to maintain accurate digital records.
  • Comfortable working within a busy and growing company. There are occasions where the office is quiet, someone who is able to remain motivated during this time is essential.
  • Someone who follows things through to completion.

Previous administration experience is required.

Experience within commercial cleaning, facilities management, construction, recruitment, HR administration or another service-based business would be advantageous but is not essential.

Working With Our Area Supervisor

This role will work particularly closely with our Area Supervisor.

The Area Supervisor will be out within our commercial contracts, maintaining relationships with our cleaning teams and clients, conducting quality assessments, supporting employees and ensuring our standards are consistently achieved.

You will provide the administrative support behind this.

For example, if the Area Supervisor identifies that an employee requires additional training, has an upcoming holiday, needs documentation updating or there has been a change to a client's requirements, you will help ensure the relevant actions, records and paperwork are completed.

Together, the two roles will help ensure both the people on site and the systems behind them are properly looked after.
