The Access & Security Business Administrator plays a pivotal role in supporting the day-to-day operational, financial, and commercial activities of the Access & Security business.

The role acts as the administrative hub of the department, ensuring supplier relationships are managed effectively, stock is controlled efficiently, commercial and financial records are maintained accurately, and compliance obligations are fulfilled.

Working closely with operational teams, suppliers, customers, finance, and commercial stakeholders, the successful candidate will help ensure the smooth running of the business by providing effective administrative support, maintaining accurate data, managing contracts, and supporting the delivery of installations and maintenance services.

To be successful in this role, you must be highly organised, detail-oriented, commercially aware and capable of managing multiple priorities simultaneously whilst delivering excellent internal and external customer service.

  • We are looking for a highly organised and proactive

Business Administrator to provide comprehensive administrative, financial and operational support to our Access & Security division.

This is a varied role that plays a vital part in ensuring the smooth day-to-day running of the business by supporting procurement, finance, contract administration, stock management, compliance and operational activities.

  • Working closely with colleagues, customers and suppliers, you will coordinate key business processes to ensure projects are delivered efficiently, records are maintained accurately and excellent customer service is consistently achieved.

You will be responsible for raising and managing purchase orders, processing customer invoices, maintaining supplier and customer records, managing stock levels and supporting installation and maintenance projects through effective administration.

  • A key aspect of the role is supplier management and procurement.

You will build and maintain positive working relationships with suppliers, obtain quotations, manage pricing schedules and coordinate the ordering, delivery and return of equipment, materials and hired plant.

You will ensure procurement activities are completed in line with company procedures while maintaining accurate records of supplier agreements and purchasing information.

  • You will also provide finance administration support by raising customer invoices accurately and within agreed timescales, processing supplier invoices, reconciling purchase orders and supplier statements and maintaining accurate financial information within Sage.

You will support month-end and year-end administration, monitor outstanding invoices and purchase orders, assist with departmental budget monitoring and produce regular reports relating to purchasing, supplier spend, stock and invoicing activities.

  • Contract administration is another important element of the role.

You will raise, issue, maintain and renew customer installation and maintenance contracts, ensuring documentation remains accurate, compliant and up to date.

You will manage document control processes for customer and supplier records while maintaining organised filing systems and business documentation that supports operational efficiency and compliance requirements.

  • The successful candidate will take ownership of stock and asset administration across multiple operational and storage locations.

You will maintain accurate inventory records, monitor stock movements, coordinate replenishment activities and carry out regular stock reconciliations to ensure equipment availability and minimise discrepancies.

You will also ensure company equipment and assets are appropriately recorded, tracked and managed throughout their lifecycle.

  • Supporting operational delivery is central to this position.

You will provide administrative support for installation and maintenance projects, coordinate travel, accommodation and transport arrangements for engineers and colleagues, prepare management reports and operational performance information and act as a key point of contact for departmental administration queries.

You will work collaboratively with internal teams to ensure work is delivered efficiently and customers receive a professional service.

  • The role also includes responsibility for supporting compliance activities, including coordinating PCI compliance requirements, maintaining compliance documentation, assisting with internal and external audits and ensuring corrective actions are completed and recorded where required.

You will help ensure business records remain current and compliant with company policies and industry standards.

  • From time to time, you may also represent the business by attending industry events, trade shows and networking opportunities to promote the company's products and services and support wider business development activities.
  • The ideal candidate will have previous experience in a business administration, operations administration, finance administration or commercial support role and be confident managing multiple priorities in a fast-paced environment.

You will have experience raising purchase orders, processing invoices, managing supplier relationships and maintaining accurate business records.

Experience using Sage accounting software, coordinating procurement activities, managing stock and inventory records and supporting contract administration is essential, while knowledge of PCI compliance would be advantageous.

  • You will possess excellent organisational skills, a high level of accuracy and strong attention to detail, with the ability to prioritise workloads and consistently meet deadlines.

Strong communication skills are essential, together with the confidence to build positive relationships with colleagues, suppliers and customers.

You should be proficient in Microsoft Office applications, including Excel, Word, Outlook and Share Point, and be comfortable producing reports and analysing operational information.

  • This role would suit someone who is proactive, commercially aware and enjoys working in a varied position where no two days are the same.
