What You\’ll Be Doing

No two days are the same, but the tasks below offer a glimpse of what to expect. If you don\’t meet every point but believe you have the skills to succeed, we encourage you to apply.

  • Deliver exceptional customer service at all times
  • Answer calls – first time resolution where possible
  • Should be able to confidently answer and resolve: fob requests, statement requests, access details, account balance queries, locate contracts, bank details, direct to correct department, portal access, provide maintenance updates
  • Manage and respond to estate inbox / customer service queue in Dwellant
  • Manage voicemail inbox
  • Chase open maintenance jobs with the relevant contractor
  • Issue letters via email and post
  • Deal with returned post
  • Raise PO\’s where necessary
  • Assist with the general running of the department as instructed by the Senior PA\’s

Confidently carry out the above, and in addition:

  • Answer overflow calls – first time resolution where possible
  • Work alongside and have regular meetings with the Property Manager responsible for their portfolio
  • Work with Property Manager to resolve and respond to complex queries on their portfolio
  • Site inspection actions
  • Ensure contracts are in place – find tenders, new contractors (what documents they need to provide)
  • Raise quote requests on Dwellant and chase responses
  • Ensure Dwellant up to date – documents uploaded (insurance certificate etc)
  • Check OOH reports for their sites and raise PO\’s
  • Breach of lease letters and process
  • Respond to incoming calls and emails quickly (inside SLA) and ensure regular feedback of outstanding issues is provided
  • Knowledge of Service Charges
  • Dealing with Insurance Claims
