Job Title: Administrator

Full-Time | Office-Based

Overview

Our client is a boutique residential property management company specialising in the management of residential blocks and estates, where leaseholders/freeholders contribute via service charges.

The business operates within recognised industry frameworks and legislation, ensuring compliant and professional delivery of property management services.

The Role

The Administrator will provide day-to-day administrative support to a busy property management team. This is a varied role requiring strong organisation, attention to detail, and a proactive approach to customer service.

Key Responsibilities

  • Manage and respond to all incoming communications (phone, email, in-person) in a professional and timely manner
  • Maintain and update internal systems, ensuring all client records are accurate and securely stored
  • Produce mail merges for service charge demands, correspondence, and newsletters
  • Coordinate contractors to attend sites, obtain quotes, and arrange works
  • Organise meetings with clients, contractors, and internal teams
  • Support stakeholder communications including newsletters and digital updates
  • Prepare and issue statutory notices as required
  • Provide general administrative support including document preparation, reporting, and filing
  • Assist with basic bookkeeping duties

Hours & Location

  • Monday to Friday, 09:00 – 17:30
  • Office-based role

Skills & Experience

  • Minimum GCSE (or equivalent) in English and Maths
  • Strong IT skills including Microsoft Office (Word, Excel, Outlook/365)
  • Experience producing mail merges
  • Fast and accurate typing (approx. 60 wpm)
  • Excellent verbal and written communication skills
  • Confident dealing with a range of clients, including managing sensitive or challenging situations
  • Strong numerical ability and attention to detail
  • Highly organised with the ability to prioritise workload
  • Team player while also able to work independently
  • High level of integrity and professionalism
