A globally operating manufacturer is seeking a Japanese speaking PA/ Office Administrator for its Glasgow office. This role involves providing a wide range of secretarial and administrative support duties. The ideal candidate will have solid experience in office administration and support operations. Experience in IT administration is highly desirable.

WORKING HOURS: 9:00-17:00 from Monday to Friday

SALARY: £35k-£40k level, depending on experience

START: ideally from ~July 2026

LOCATION: Glasgow, Scotland

Main Responsibilities:

  • Support employee expense claims, arrange internal and external meetings, coordinate various events, and assist with logistics for VIP visitors
  • Liaise regularly with travel agencies, hotels, chauffeurs, restaurants, and airlines
  • Negotiate rates with vendors, consolidate relevant information, and share updates across departments
  • Provide support for event operations and company accommodation arrangements as required
  • Cover duties during team members’ absences or peak workload periods
  • Handle filing, scanning, dispatching, and management of documents and records
  • Perform general administrative duties, including invoice processing and expense reimbursement
  • Assist with projects and ad hoc tasks as required
  • Act as a facilitator for IT tools and systems
  • Provide administrative support to team members
  • Promote the sharing of software tool updates to improve operational efficiency

Ideal Candidate:

  • Extensive experience in office administration and clerical support
  • Experience in secretarial and administrative support duties
  • Excellent written and verbal communication, interpersonal, and negotiation skills
  • Business-level proficiency in both Japanese and English
  • Ability to work proactively and independently
  • Strong multitasking skills with the ability to manage multiple tasks simultaneously and meet deadlines
  • Ability to remain calm, organised, and efficient under pressure
  • Strong attention to detail with a high level of accuracy
  • Intermediate or above PC skills, including Microsoft Word, Excel, and PowerPoint
  • Experience dealing with travel agencies, hotels, and restaurants is advantageous
  • Previous experience working in an international or globally expanding company is preferred
  • Experience in IT administration or knowledge of IT systems and PC handling is highly desirable
