Receptionist Main Responsibilities:

  • Support office security and communication by managing visitor access, handling telephone enquiries, coordinating meeting room bookings, and maintaining accurate records in line with company and HMRC requirements.
  • Act as the first point of contact for all visitors, providing a professional, friendly, and welcoming front-of-house service.
  • Meet and greet clients and visitors, ensuring they are signed in, issued with access passes where required, and escorted appropriately.
  • Maintain the reception desk manned at all times during office hours, ensuring a consistently professional and welcoming environment.
  • Answer, screen, and forward incoming telephone calls promptly, using a polite and professional tone, and taking accurate messages when required.
  • Manage meeting room bookings, including scheduling, coordination, setup, and ensuring rooms are clean and prepared.
  • Arrange and coordinate couriers, deliveries, and collections, including tracking and notifying recipients of important packages.
  • Receive, sort, and distribute incoming post and manage outgoing mail, ensuring confidential items are handled appropriately and securely.
  • Maintain a tidy, organised, and professional reception and front-of-house area at all times, including daily checks of supplies and general cleanliness.
  • Order office supplies and stationery, monitor stock levels, and liaise with suppliers as required.
  • Maintain accurate records and logs, including visitor registers, access passes, and internal administrative records.
  • Organise and create building access passes for new starters and visitors, ensuring security protocols are followed.
  • Support hospitality requirements, including refreshments and catering coordination for meetings and visitors.
  • Ensure meeting rooms are arranged as required (e.g., boardroom, theatre-style) and conduct visual checks to confirm room readiness.
  • Maintain confidentiality, discretion, and professionalism in all interactions, and adhere to data privacy and security procedures.
  • Follow emergency procedures and support guests and employees calmly in crisis situations, reporting incidents promptly.
  • Provide cover for the Facilities Supervisor, as and when required.
  • Undertake ad hoc duties as directed by the Senior Business Support Manager.
  • Maintain and update statutory and administrative records in line with HMRC requirements, ensuring accuracy and compliance.

Receptionist Ideal Candidate:

  • GCSEs (or equivalent) including English and Maths.
  • Previous experience in a reception or customer service role is preferred.
  • Strong IT skills with proficiency in Microsoft Office (Word, Excel, Outlook).
  • Experience of working in a professional office environment and handling confidential information.
  • NVQ or equivalent qualification in Customer Service or Business Administration is desirable, but not essential.
  • Strong organisational skills with the ability to prioritise and manage time effectively.
