A long-established food commodity trading house is seeking an Administrator to join their small, tightly knit team in London.
In this role, you will be responsible for contract set up and record management, sending contracts, processing supplier invoices, preparing payment instructions, reconciliation tasks, and providing ad-hoc admin support.
- 5+ years of office administration experience would be required for this position.
TYPE: Permanent, full-time
WORKING HOURS: 9:00-17:30 from Monday to Friday
SALARY: £35-38k, depending on experience
START: ASAP
LOCATION: City of London, fully office-based
Administrator Main Responsibilities:
- Contract set up and record management using the commodity trading program ITAS, includes maintenance of client details
- Sending contracts to the counter parties and chasing any outstanding unsigned contracts
- Processing supplier invoices, expenses and credit notes and investigating any discrepancies
- Preparing payment letters/instructions with accompanying loan documents for purchase invoices
- Sending payment instructions and loan requests to the bank, followed by processing all relevant bank charges in ITAS
- Reconciliation of supplier statements
- Reporting on European VAT FX reconciliation by processing the currency in ITAS
- Preparing Packaging report
- Reception/switchboard duties
- Organising samples to be posted/couriered when required by the traders
- Provide ad-hoc admin support to the Managing Director and other traders
- Setting up payments in the company bank accounts for authorisation
- Assisting the logistics department when required such as logging new documents received, updating details on ITAS and scanning them into the shared drive
- Assisting the Finance Director with bank reconciliation against the ledgers as and when required
Administrator Ideal Candidate:
- 5+ years of office administration experience
- Business level fluency in English
- Excellent interpersonal and communication skills
- Strong organizational and planning skills
- Attention to detail and problem-solving skills
- Excellent time management skills
