Central Uxbridge Surgery is a busy GP practice serving a diverse community of 16,000 patients. We are looking for a professional and dedicated Receptionist/Administrator to join our friendly team.

Responsibilities

  • Greet patients and visitors warmly and act as the first point of contact.
  • Handle patient queries in person and over the telephone, signposting to appropriate services.
  • Book, cancel, and reschedule appointments using the clinical system.
  • Process new patient registrations and update records in accordance with protocols.
  • Explain practice policies and services (online access, repeat prescriptions, etc.).
  • Manage waiting room flow and ensure smooth patient journey.
  • Process and action prescription requests, referrals, and medical reports.
  • Scan, file, and distribute incoming correspondence and test results.
  • Handle electronic document workflow and update records promptly.
  • Respond to internal and external emails professionally.
  • Support the recall system and contact patients for routine checks and immunisations.
  • Maintain patient confidentiality in accordance with GDPR and practice policies.
  • Monitor and maintain office supplies and stock.
  • Assist in preparing clinics and ensuring necessary documentation for clinicians.
  • Collaborate with clinical and administrative teams to ensure efficient service delivery.
  • Help troubleshoot IT and telephony issues, escalating to IT support when required.
  • Support the practice during flu vaccination clinics, health promotion campaigns, and other initiatives.
  • Adhere to practice policies, infection control, safeguarding and health and safety guidelines.
  • Maintain accurate patient information and report incidents, concerns or complaints.
  • Participate in training sessions and keep up to date with relevant procedures.

Qualifications & Experience

  • Previous experience in a customer service, receptionist or administrative role.
  • Strong communication and interpersonal skills; calm under pressure.
  • Excellent IT skills – proficiency in Microsoft Office (Word, Excel, Outlook) and ability to learn new systems quickly.
  • Ability to work independently and as part of a team.
  • Proactive, professional approach with strong attention to detail.
  • Ability to multitask and manage workload effectively in a busy environment.
  • Commitment to patient confidentiality and data protection regulations.

Desirable

  • Experience working in a GP surgery, healthcare setting or NHS role.
  • Knowledge of clinical systems such as EMIS, SystmOne or Vision.
  • Familiarity with medical terminology and healthcare procedures.
  • Understanding of NHS and general practice operations.
  • Experience processing prescriptions and referrals.
